Role overview:

As the Workplace Coordinator, London Soft Services, for Sony Interactive Entertainment’s London office, you will be responsible for supporting the delivery of amenities and soft services (such as the food and snack program, event management, service delivery) for employees in the region.

This role will help make impactful workplaces that enable SIE employees to deliver great results. The successful candidate will report to the Manager, Workplace, United Kingdom Soft Services, and work closely with vendors, external partners, and cross-functional teams. The ideal candidate has experience working with vendorized teams to deliver workplace amenities.

What you’ll be doing:

• Coordinate the day-to-day delivery of assigned soft services and amenities for the London office, ensuring activities are completed consistently on time and in line with established service expectations.
• Collaborate with vendors and local workplace teams to execute programs designed by Internal Events, the Workplace Center of Excellence (COE) and Manager, Workplace UK Soft Services. Work to ensure timely and high-quality delivery, including addressing routine issues and escalating more complex risks or service gaps when required.
• Partner with internal teams and external vendors to support event planning and logistics (i.e., catering, cleaning, A/V, space reservations, signage, etc.) and successfully deliver events and workplace programs.
• Maintain event calendar and track key data points like participation, feedback, and other success metrics. Provide clear updates and summaries to support planning and continuous improvement efforts.
• Oversee end-user engagement touch points, such as ticketing systems or request processes. Collate feedback to further workplace experience and align amenities to business needs. Raise potential improvements or large-scale opportunities to Manager Workplace UK Soft Services.  
• Support coordination and upkeep of employee amenities like snack programs, fitness centres, and lounge areas. Monitor service standards and follow through with vendors or partners to resolve issues.
• Manage the end-to-end SIE London Apartment booking process, ensuring reservations, guest requirements, cleaning, access and availability are effectively coordinated.
• Coordinate the day-to-day workload of the London Facilities Assistants, ensuring appropriate coverage and effective delivery of Facilities Services. This includes managing the team rota, holding weekly team meetings, allocating meeting room and event set-ups, monitoring Helpdesk requests and coordinating daily priorities. Escalate any issues to the Manager, Workplace UK Soft Services.

What we're looking for:

• 3+ years of experience in workplace programs including food, events and service delivery, ideally in a gaming or tech environment. 
• Experience coordinating contractors and suppliers and monitoring delivery against established service standards. 
• Strong work ethic with the ability to take initiative, function in a fast-paced working environment, with immediate and changing deadlines.
• Ability to prioritise workload, with strong problem-solving and decision-making skills. Strong organisational skills, attention to detail, and time management are a must. 
• Demonstrated strong and effective verbal, written, and interpersonal communication skills. Ability to interact comfortably and effectively with managers and employees at all levels within our company.
