Role Purpose

Neko Health is expanding into the US market, and this role is being created to make sure staffing, shift structures, and labor resources keep pace with that growth without compromising service levels or cost efficiency.

This is first and foremost a strategic, data-driven role. The Workforce Management Lead will analyze and understand Neko's labour performance and measuring end to end — from raw operational data through to the strategic staffing and cost decisions that data should drive — and will explore AI-enabled ways to structure and organize the workforce, rather than defaulting to manual or legacy scheduling methods. This role is also expected to contribute to day-to-day rota scheduling support.

What You'll Deliver in the First 6–12 Months

Strategic labour analytics (lead priority)

• Own end-to-end analysis of Neko's labour performance and metrics — productivity, utilization, cost per labor hour, and labor waste — from raw data through to a strategic read leadership can act on, not just a monitoring dashboard.

• Develop short- and long-term labor forecasts using historical data, seasonality trends, and business growth projections.

• Provide insights and recommendations to leadership on staffing and operational decisions, including staffing adjustments during demand surges (e.g., flu season).

AI-enabled workforce design

• Explore AI-enabled approaches to structuring and organizing the workforce — e.g., using AI/ML methods to improve shift-pattern design, coverage modeling, or forecasting accuracy — rather than relying solely on manual or legacy methods.

• Identify and pilot specific opportunities where AI or automation can materially improve staffing efficiency or decision quality.

Data & systems build

• Design and build the forecasting models, dashboards, and staffing tools this role depends on, rather than operating tools built by another team.

• Structure the right tech stack for scheduling, time tracking, and leave management, and identify automation opportunities within it.

Cross-functional coordination

• Work with HR, Operations, and Medical Operations to manage absenteeism, overtime, and productivity gaps, using the labour-analytics work above to inform those conversations.

Day-to-day: rota scheduling support

• Support rota scheduling and shift coverage across clinics in multiple geographies, ensuring the right staffing mix across shifts (days, evenings, weekends).

• Support shift bid processes and shift rotations to optimize coverage and employee satisfaction.

Minimum Qualifications

• Proven experience of building a workforce forecasting model, staffing tool, or scheduling dashboard from scratch — not only configured or operated one built by another team or vendor.

• Experience applying AI or machine-learning methods to workforce planning, forecasting, or scheduling problems.

• Has owned workforce planning and labour-metrics analysis across multiple sites

• Strong analytical skills with proficiency in data tools (e.g., Excel, Tableau, SQL) and workforce planning systems.

• Excellent written and verbal communication skills in English.

Preferred Experience

• Background in any shift-based, multi-site industry (e.g., retail, logistics/warehousing, aviation, , hospitality, manufacturing) is valued as much as healthcare experience.
