The Role:

We are recruiting a highly organized Travel and Operations Co- Ordinator for our Service Operations department. The successful candidate will be responsible for providing and overseeing all travel arrangements for the team. They will also provide continuous support and maintain clear communication during the travelling periods. The Candidate will support in additional administrative tasks as requires.

Responsibilities:

• Coordinate domestic and international travel, including flights, accommodation, taxis, and other transport requirements.
• Manage relationships with travel suppliers, including TMCs, hotels, car rental providers, and visa agencies. Negotiate competitive rates, review supplier performance, and identify cost-saving opportunities.
• Ensure travel bookings comply with company policies, budgets, and employee safety requirements.
• Monitor travel activity through booking systems, maintaining accurate records and producing travel reports.
• Manage travel budgets, track expenditure, reconcile invoices, and resolve billing discrepancies with Finance
• Provide guidance on visa requirements, application processes, and travel documentation, liaising with authorities where required.
• Train and support employees on travel policies and booking procedures, while coordinating urgent or out-of-hours travel assistance when needed.

Requirements

About you:

• Proven experience in end-to-end corporate travel coordination, including flights, accommodation, transport, travel documentation, and visa requirements.
• Strong knowledge of travel booking systems, supplier management, contract negotiation, and cost optimization, with the ability to secure competitive rates and deliver value for money.
• Experience managing travel budgets, monitoring spends, reconciling expenses, producing reports, and analyzing travel trends to support business decisions.
• Excellent communication and stakeholder management skills, with the ability to build effective relationships across employees, managers, HR, Finance, travel suppliers, and external agencies.
• Strong organizational, planning, and time management skills, with the ability to prioritize multiple tasks, work to deadlines, and operate effectively in a fast-paced environment.
• High attention to detail and accuracy, ensuring compliance across travel bookings, visa applications, expense management, data entry, and record keeping.
• Proficient in Microsoft Office, travel management systems, reporting tools, and financial reconciliation processes.
• Self-motivated and solutions-focused, with the ability to work independently or as part of a team, manage travel disruptions, resolve urgent issues, and maintain business continuity.

Experience: Minimum 2 years' experience in a similar Travel Coordinator, Travel Administrator, or Travel Management role.
