Overview
As a partner in Otterbein’s mission to enrich individual life journeys for all, the Transition Scheduler plays a vital role in ensuring continuity of workforce scheduling and staffing operations across Otterbein ministries experiencing scheduler vacancies or transitions. This position provides temporary scheduling support to ministries without dedicated onsite scheduling resources, helping maintain staffing stability, labor efficiency, and exceptional resident care. The Transition Scheduler collaborates closely with ministry leadership to ensure staffing needs are met. Through proactive communication, problem-solving, and operational excellence, this role supports Otterbein's values of Excellence, Integrity, Respect, Innovation, Compassion, and High Quality.

- Provide interim scheduling support across multiple communities during vacancies, leaves of absence, transitions, and other workforce disruptions to ensure uninterrupted staffing operations.
- Develop, maintain, and manage master and daily staff schedules that align with staffing standards, productivity goals, census demands, and organizational policies.
- Monitor open shifts and coordinate coverage strategies with leadership teams and internal staffing resources to maintain appropriate workforce levels.
- Serve as a subject matter expert for scheduling systems, workforce management tools, labor analytics, and timekeeping processes.
- Analyze workforce trends, including attendance, overtime, staffing patterns, and productivity metrics, to identify opportunities for operational improvement and labor efficiency.
- Generate, interpret, and communicate workforce and labor reports, providing actionable recommendations to leaders based on data-driven insights.
- Train and support managers and ministry leaders on scheduling practices, workforce planning, labor management, and productivity measures.
- Partner with operational leaders to implement workforce strategies, develop action plans, and ensure compliance with scheduling policies and best practices.
- Lead scheduling transitions for newly acquired or affiliated communities and support onboarding, documentation, process standardization, and knowledge transfer activities.
- Act as the primary scheduling liaison between community leadership and Home Office teams, ensuring effective communication, operational continuity, and timely escalation of staffing risks or concerns.
Qualifications
- High School Diploma required, Associates degree preferred
- Proficient with Microsoft Outlook, Excel, Word, and HRIS or scheduling platforms
- Detail-oriented with excellent organizational and time management skills
- Strong interpersonal and communication abilities, both verbal and written
- Ability to work remotely and independently, manage multiple priorities, and meet deadlines
- A commitment to integrity, accountability, and continuous improvement
