Summary
We are looking for a highly organised, pro-active, solutions-driven Traffic Manager. Driving from the engine room of production, the right candidate will conduct the pipeline across campaign, paid content, social, and marketing as a whole, from briefing to delivery.
Acting as the central nervous system of the department the Traffic Manager will own and drive workflow, visibility, resourcing coordination, timelines, task management, and delivery tracking across multiple concurrent projects and campaigns.
A deep understanding of Asana is essential. This person will lead the structure, hygiene, implementation, and optimisation of project workflows within Asana, ensuring teams remain aligned, accountable, and operationally efficient at scale.
The ideal candidate thrives in fast-paced environments, understands the realities of 360-degree production from our always on to high level campaign, and should be obsessed with process. Communication, clarity, and collaboration are key!
Essential Duties and Responsibilities
Workflow & Traffic Management
- Own the day-to-day movement of content projects across the business
- Manage timelines, dependencies, priorities, and delivery milestones across multiple simultaneous campaigns and shoots
- Ensure all incoming requests are properly briefed, scoped, assigned, and scheduled before entering workflow
- Flag bottlenecks, risks, resource clashes, delays, or pending approvals proactively
- Monitor project status daily and drive accountability across teams to ensure deadlines are met
- Support the prioritisation of business-critical and founder-led requests while maintaining wider team visibility
Asana Ownership & Operations
- Act as the primary owner and gatekeeper of Asana workflows, structures, templates, and project hygiene
- Build and maintain scalable project management systems within Asana across campaigns, shoots, content calendars, social deliverables, paid assets, and post-production pipelines
- Create dashboards, trackers, calendars, status systems, automations, and reporting frameworks as we grow and departments become inter-connected
- Ensure all tasks have clear owners, timelines, dependencies, deliverables, and approval stages
- Improve visibility across departments through structured workflow management and reporting
- Train and support teams on best practices and operational consistency within Asana
Resource & Capacity Planning
- Maintain visibility across internal teams, freelancers, agencies, and production resources
- Assist with scheduling of shoots, edit timelines, reviews, approvals, and delivery deadlines
- Support workload balancing and help identify when additional freelance or production support is required ahead of the curve
- Coordinate and offer solutions to cross-functional schedules across production workstreams operating concurrently and often in different locations globally
Approvals & Delivery Tracking
- Build and manage approval timelines across stakeholders
- Ensure feedback is consolidated, actionable, and delivered efficiently to relevant teams
- Maintain clear visibility on versioning, deliverables, dependencies, and final outputs
Process Improvement
- Identify challenges and opportunities in workflow gaps, communication, processes and operational systems
- Help implement scalable systems and processes to improve efficiency, meeting budgets, ensure clarity, and output quality
- Support the ongoing evolution of the production vertical and cross-functional operating structure
Requirements
- 5+ years experience in traffic management, operations, or project management within creative, agency, or brand environments
- Advanced knowledge of Asana is essential
- Strong understanding of creative production workflows across photo, video, social, paid, and digital content
- Exceptional organisational and communication skills
- Ability to manage multiple moving projects simultaneously under tight timelines
- Calm under pressure with strong problem-solving instincts
- Highly detail-oriented with excellent follow-through
- Comfortable working across both high-level planning and granular operational detail
- Strong interpersonal skills with the ability to communicate clearly and coordinate across multiple stakeholders, teams and departments
- Familiarity with fast-turnaround content environments and active production workflows
- Ideal candidate will have experience within luxury, beauty, fashion, lifestyle, or founder-led brands
- Experience supporting global campaigns and social-first content ecosystems
