1. Records Retention and Document Management
a. Maintain and organize retention files for the Business Unit.
b. Scan production and quality records and submit retention documents to designated repositories.
c. Ensure availability, accuracy, and timely retrieval of operational records to support compliance and audit readiness.

2. Gage Inventory and Custodianship
a. Serve as Gage Custodian and maintain accountability records for assigned gages and measuring equipment for the whole of GBU.
b. Coordinate issuance, return, storage, and inventory activities.
c. Support periodic audits, inventory counts, and calibration-related documentation requirements.

3. Administrative and Procurement Support
a. Process office supply requests and electronic purchase requisitions (e-PRs).
b. Maintain adequate office supply inventory and coordinate replenishment activities.

4. Visual Management and Communication Support
a. Prepare, reproduce, and distribute visual materials, presentations, forms, and departmental communications.
b. Perform photocopying, printing, laminating, and formatting of operational documents.
c. Create and maintain visual management materials supporting production activities.

5. Workplace Organization and Visual Controls
a. Update baby board formats and production communication boards.
b. Maintain workstation labels, identification materials, and other visual controls.
c. Support floor marking activities and workplace organization initiatives to sustain visual workplace standards.

6. Operational Support and Continuous Improvement

a. Monitor and maintain Nonconformance (NC) records, ensuring timely filing, tracking, status monitoring, and availability of documentation to support quality investigations, corrective actions, and audit requirements.
b. Maintain accurate records, logs, and departmental reports as required.
c. Support continuous improvement, 5S, and other operational initiatives through effective documentation and coordination.

7. EHS Administrative Support
a. Maintain and regularly update the Operations Muster Location List

b. Coordinate, process, and track Personal Protective Equipment (PPE) requests for new or additional man power. Maintiain inventory for PPE’s allocation for non production and regular use. i.e. visitors, OJT

Requirements:

Education: Graduate of a Business, Information Technology, or related course

 Experience: Minimum of 3 years of experience in clerical, administrative, procurement, records management, or operational support functions.

 Experience in document control, facilities administration, contractor coordination, or compliance documentation is an advantage.

Skills and Competencies:

• Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
• Records and document management.
• Administrative and transaction processing.
• Strong organizational and coordination skills.
• Data gathering and report preparation.
• Attention to detail and accuracy.
• Ability to manage multiple priorities and meet deadlines.
• Familiarity with purchasing, or workflow approval systems is an advantage.
