Role Purpose:
The Sr. Associate of NCS Publications & Information Management plays a critical role in the planning, coordination, and execution of the NCS Communications and information management strategy. The primary focus is on delivering high-quality pre-Games publications and managing information for the National Olympic Committees (NOCs) and National Paralympic Committees (NPCs) participating in the LA28 Olympic and Paralympic Games. Reporting to the NCS Communications Operations Manager, this individual will ensure the consistent and professional delivery of critical information, directly contributing to a seamless and successful Games experience for our key stakeholders.
Key Responsibilities:
Publications & Content Management
- Manage end-to-end timelines, version control, approvals, and distribution across NCS digital and print platforms.
- Help drive the complete lifecycle of core NCS publications, including the Chef de Mission Guides, from content gathering and validation to final distribution.
- Gather and validate inputs from NCS relations and planning teams and cross-functional partners to ensure completeness and accuracy of all NCS managed
- Ensure all publications strictly adhere to LA28 editorial standards, branding, translations, and IOC/IPC accessibility and sustainability requirements.
- Support the integration of technology and AI-enabled solutions to improve publication pipelines and efficiency.
- Support the successful and on-time delivery of the Chef de Mission Guides and all Games-time Guides / updates for the Olympic and Paralympic Games.
Information Management & Communications Operations
- Support the drafting, review, and distribution of newsletters, extranet updates, policies, guides, and publications.
- Serve as a key operator for NCS information systems, including the NOC/NPC extranets and newsletters.
- Monitor content on information sharing channels to ensure accuracy, relevancy, and accessibility for all NOCs and NPCs.
- Serve as a key contributor to keeping NCS databases, trackers, and tools current and accurate to drive cross-functional alignment.
Games-Time & Readiness Operations
- Assist with meeting preparation, content development, in-room logistics, and administrative follow-up for the Chefs de Mission meetings.
- Monitor and log operational items raised during CdM meetings
- Execute NCS procedures to coordinate and deliver global communication with stakeholders to ensure timely escalation and resolution.
- Manage critical publication and communication distributions during readiness exercises and live Games-time operations.
- Assist in other Games-time operations that may include event operations, NOC/NPC service center, and other special projects.
Background & Requirements:
- Bachelor’s degree in Communications, Journalism, Marketing, Sports Management, or a related field.
- 3+ years of experience in communications, publishing, or major event operations, with demonstrated experience in project managing content through design, translation, and distribution cycles.
- Excellent written communication skills, with a meticulous eye for proofreading, detail, and quality control.
- Exceptional project coordination and time-management skills, with the ability to manage multiple content pipelines (e.g., print, digital, presentations) simultaneously in a deadline-driven environment.
- A strong eye for visual communication and presentation design, with proficiency in developing clear, impactful slides using tools like PowerPoint or Google Slides.
- Proven ability to work with diverse internal and external stakeholders, including experience coordinating with translation services or managing multilingual content workflows.
- Ability to synthesize complex operational information into clear, concise, and visually engaging deliverables, including written guides and presentations.
- Comfort working in fast-paced, evolving operational environments and adapting to changing priorities.
- Ability to work effectively and collaboratively across multicultural and cross-functional teams.
Expectations:
- Excellent fluency with Microsoft Office Suite and document management tools.
- Familiarity with Smartsheet, Mailchimp, and SharePoint a plus.
- Experience working on major sporting events or within the Olympic/Paralympic Movement not required but preferred
- Demonstrated comfort working with new technologies and evolving digital tools, including AI-supported workflows and information systems.
- Exceptional written and verbal communication skills in English; additional languages such as French, Spanish considered an asset.
The annual base salary range for this position is $73,000-95,000. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
