The Senior Associate Administrative Assistant provides advanced support with: (1) budget & purchase order management, (2) planning and executing marketing activities according to the SX IMG team needs, (3) executive assistant support to the President International Vision Care, (4) contract system support, and (5) support to AMDs in activities such as newsletters and approvals. This role combines administrative excellence with data analysis capabilities to support management needs.

In this role, a typical day will include:

Administrative & Operational Support

Budget, Suppliers & Purchase Order Management:

• Consolidate, analyze, and track IMG A&P budget vs. actual spend for entire SX IMG department. Work cross-functionally with Sx Marketing VP, his team and Finance to collect and consolidate information on a regular basis, escalate discrepancies, and ensure team is allocating 100% to target.

• Coordinate and administer all Purchase Orders (creation, tracking, closing), cross-charges, and invoices for all Surgical Marketing projects, follow up with suppliers on invoices, payments, and incidences.

• Set up new suppliers in the system and take care of the maintenance for the existing ones.

Planning and executing activities that impact the SX IMG team:

• Coordinate with the different agents, and execute, on planned marketing activities initiatives, especially in digital ones:

• AMDs

• Veeva approval for Regional congresses

Executive Assistant Support to President International Vision Care:

• Provide executive assistant support to the President International Vision Care, including calendar coordination, meeting logistics, travel arrangements, expense support, communication follow-up, and preparation of key materials as needed.

Contract System Support:

• Subject matter expert on ALCON contract management system to supports IMG

Data Analysis & Visualization Responsibilities (additional scope)

• Extract and analyze data from internal systems, databases, and customer feedback sources.

• Apply statistical techniques to evaluate product performance, identify trends, and monitor safety indicators.

• Develop reports, dashboards, and visualizations to support decision‑making, regulatory reporting, and management reviews.

• Translate complex datasets into clear, actionable insights for both technical and non‑technical stakeholders.

• Support continuous improvement activities through data‑driven recommendations.

• Ensure data quality, accuracy, and consistency when compiling reports or preparing analytics deliverables.

WHAT YOU’LL BRING TO ALCON: 

• Strong operational, communication, organizational, and time‑management skills

• Expertise working in multi-cultural and matrix environments within a large team geographically dispersed

• Analytical mindset, digital marketing and problem‑solving abilities.

• Proficiency in Excel, data tools, and visualization platforms (e.g., Power BI, Tableau, etc.)

• Ability to manage multiple priorities with simplification mindset.

• Ability to collaborate cross-functionally.
