We are moving into a brand-new office in a prime location near Berlin Central Station in early 2027 and are looking for an experienced Senior Workplace Specialist to join and strengthen our Workplace team.
This is an exciting opportunity to help shape a new workplace from the ground up. Working closely with the wider Workplace team, you will play an important role in creating an office environment where employee experience, hospitality, and operational excellence are at the heart of everything we do.
As part of the transition to our new office, you will play a key role in planning, coordinating, and delivering the office move. You will work closely with internal stakeholders, external vendors, building management, and other partners to ensure a smooth and well-organized transition. Strong stakeholder management will be an important part of the role, ensuring clear communication, alignment, and effective coordination across all parties involved.
Beyond the move, you will help ensure that our workplace runs smoothly day to day while creating a welcoming, high-quality experience for employees, visitors, and guests. From facilities and vendor management to team events, workplace activities, and on-site support, you will have the opportunity to make a visible impact on how people experience our workplace.

As a highly hands-on workplace role, this position requires five days per week on-site presence. You will be an integral part of the day-to-day office experience, working closely with employees, stakeholders, vendors, and the wider Workplace team to create an exceptional workplace environment.
Key Responsibilities
Play a key role in planning and coordinating the office move and setup, including stakeholder and vendor management.
Conduct regular office walkthroughs and proactively address maintenance, safety, and operational issues.
Manage facility requests and coordinate preventive maintenance with building management and service providers.
Support the Workplace Health & Safety Compliance team with on-site inspections, appointments, and vendor visits.
Manage cleaning, maintenance, and facility vendors, ensuring high service and quality standards.
Coordinate meeting room setups, team events, and workplace activities, including vendors, catering, equipment, and on-site support.
Support facility-related procurement, expenses, approvals, and vendor engagements.
Deliver an excellent employee and guest experience with a strong hospitality and service mindset.
Build strong relationships with internal stakeholders and external partners.
Proactively identify opportunities to improve workplace operations and employee experience.
Qualifications
5+ years of experience in workplace operations, facilities, office management, hospitality, or a related field.
Strong employee experience and hospitality mindset with a hands-on, service-oriented approach.
Excellent organizational, communication, and stakeholder management skills.
Experience managing vendors, contractors, and multiple operational priorities.
Experience with office moves, office openings, or workplace projects is a plus.
Good understanding of workplace health & safety and facility operations.
Experience with ticketing/facility management systems and Google Workspace.
Fluent German and English required.
This is a fully on-site role, requiring five days per week in the office.
