Regulatory Administrator - Part 135

Description

• Conduct Part 135 compliance audits, including reviews of Operations Specifications (OpSpecs), training programs, checklists, standard operating procedures (SOPs), maneuvers, check airman and instructor records, databases, and related regulatory documentation.
• Maintain and upload manuals and required documentation for approximately 80+ certificate holders.
• Support onboarding of new Part 135 operators, including collection and review of required manuals and documentation.
• Generate reservation and training reports and monitor Part 135 training dashboards to support upcoming training requirements.
• Audit incoming documentation to verify accuracy, completeness, and compliance with applicable FAA regulations.
• Investigate and resolve document discrepancies and conflict reports.
• Develop, maintain, and monitor systems used to track instructor, check airman, and Training Center Evaluator (TCE) qualifications, training records, and required certificate holder documentation.
• Assist with scheduled and ad hoc 24-month audits of Part 135 operators.
• Notify operators of instructor changes and support training managers with nomination and documentation of replacement personnel.
• Identify documentation and compliance issues requiring follow-up, corrective action, or further investigation.
• Cross-train on regulatory compliance functions to support team operations and identify process improvement opportunities.
• Maintain tracking systems to ensure training program manuals remain current and compliant with FAA requirements.
• Review and audit documentation prepared by team members to verify accuracy and consistency.
• Utilize computerized recordkeeping systems to maintain records, compile data, and prepare compliance reports.
• Participate in meetings related to compliance matters, regulatory changes, and operational updates.
• Conduct meetings with training managers to obtain and verify updated check airman information.
• Support special projects and departmental initiatives, as assigned.
• Participate in Learning Center Safety Management System (SMS) training and activities that promote safety culture and regulatory compliance.
• Assist with inbound and outbound communications with operators and internal employees.
• Serve as a point of contact for operators and employees seeking clarification regarding compliance-related questions and issues.
• Create, maintain, and document processes and procedures in shared repositories to support administration of regulatory compliance activities.

Minimum Qualifications

• High School Diploma or equivalent.
• Knowledge of aviation operations and FAA regulatory requirements.
• Ability to review, audit, and manage regulatory documentation with a high degree of accuracy and attention to detail.
• Experience using computerized recordkeeping systems, databases, and reporting tools.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities and maintain organized records.
• Ability to work collaboratively with internal stakeholders and external operators.

Preferred Qualifications

• College degree.
• Experience supporting or working with U.S. FAA Part 135 operations.
• Knowledge of Federal Aviation Regulations (FARs), including Parts 61, 91, 121, and 135, including Appendix E and F.
• Knowledge of CAE Operations Manuals.
• Knowledge of FAA Order 8400.10.
• Thorough understanding of applicable FAA regulations and compliance requirements.
