Job Description
The Regional Sales Administrator serves as a critical member of the commercial team, supporting Regional Sales Managers, Applications Engineers, Product Managers, customers, and global business partners to ensure efficient execution of sales and customer support activities.
This role is responsible for coordinating customer forecasts, managing orders, supporting shipment visibility, maintaining customer account records, generating sales reports, and helping resolve issues that impact customer satisfaction and business operations.
The successful candidate is highly organized, detail-oriented, customer-focused, and comfortable managing multiple priorities in a fast-paced environment. This position offers the opportunity to work closely with cross-functional teams while contributing directly to customer success and commercial performance.
Primary Responsibilities
Sales & Customer Support
- Support Regional Sales Managers and Applications Engineers in managing sales priorities and achieving business objectives.
- Coordinate customer requests, forecast updates, sample requests, and order-related activities.
- Serve as a key point of contact for customers regarding order status, shipment updates, and general support inquiries.
- Build and maintain positive working relationships with customers and internal stakeholders.
Order Management & Forecasting
- Process and manage customer orders within SAP and related business systems.
- Support customer forecasting and planning activities.
- Monitor order status and proactively communicate updates regarding delivery schedules or potential issues.
- Coordinate order changes, expedite requests, and other customer requirements throughout the order lifecycle.
Logistics & Shipment Coordination
- Monitor and track shipments to ensure timely delivery and receipt.
- Review and verify shipping documents, including bills of lading, invoices, and packing lists.
- Maintain accurate shipment records and provide status updates as needed.
- Coordinate with operations and logistics teams to resolve shipment-related issues.
Sales Operations & Reporting
- Prepare and distribute daily, weekly, and monthly sales reports.
- Maintain customer account data within SAP, Salesforce, and other business systems.
- Support customer account setup and maintenance activities.
- Assist with reporting, forecasting, and commercial process execution.
Financial & Administrative Support
- Monitor overdue invoices and support timely resolution of outstanding balances.
- Partner with Finance, Sales, Operations, Product Management, and Customer Service teams to address customer and account-related issues.
- Support continuous improvement initiatives related to commercial and sales processes.
Qualifications
- Bachelor's degree in Business, Marketing, Supply Chain, Finance, Operations, or a related field, or equivalent relevant work experience.
- 3+ years of experience in sales administration, sales support, customer service, order management, sales operations, commercial operations, or a related business function.
- Experience working with ERP systems such as SAP and CRM platforms such as Salesforce.
- Strong proficiency in Microsoft Excel and other Microsoft Office applications.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent attention to detail and commitment to data accuracy.
- Strong analytical, problem-solving, and decision-making skills.
- Excellent verbal and written communication skills.
- Ability to work independently while collaborating effectively across cross-functional teams.
- Customer-focused mindset with a proactive approach to issue resolution.
- Ability to work primarily during Eastern and/or Central Time Zone business hours.
