Job Function: The Project Finance Coordinator supports the day-to-day monitoring of project financials and assists in the reconciliation of project budgets across the agency, ensuring that all project-related costs are accurately tracked and accounted for within final reports. They will also assist with the payroll submission process for freelance and part-time project staff. The Project Finance Coordinator should have a strong interest in financial management and accounting, and a desire to contribute to the financial health of the agency.
The Project Finance Coordinator will be expected to support a range of tasks; including, but not limited to:
- Support the full project financial lifecycle from origination through close, including job setup, SOW/PO tracking, budget reconciliation, and final reporting.
- Assist in the implementation of company accounting software processes and procedures, including creation and input of job estimates, assignment of job resources, and overall job profitability tracking.
- Monitor project status and budgets on a regular basis, flagging unanticipated costs, overages, or out-of-scope work that may require change orders or client budget conversations.
- Review project financial reports for accuracy, covering vendor invoices, credit card reports, staffing payroll, internal expenses, and employee time.
- Partner with Accounts and Production teams to understand project scopes, anticipated costs, and client profitability, helping identify overservicing or efficiency risks.
- Adhere to deadlines, proactively communicate risks to delivery, and contribute ideas to improve financial processes and agency efficiency.
- Participate in recurring finance and operations meetings with account leads to review account health, track invoicing and collections, and align on actions needed to keep projects on budget.
- Monitor hours/fee pacing across active accounts; ensure expense management platforms (e.g., Navan) are kept current with correctly tagged, approved expenses flowing into financial reporting.
- Track OOP expenses against budgets and confirm client funds are in-house ahead of upcoming vendor payments; support timely credit card reporting and freelancer payroll submissions.
Requirements & Skills
- BA or BS in economics, finance, accounting, or related fields.
- 1–3 years of finance or accounting experience, preferably within an agency environment.
- Familiarity with GAAP principles.
- Strong quantitative skills and an ability to analyze and synthesize financial data.
- Acute attention to detail and thoroughness with all assigned tasks.
- Excellent communication and organization skills.
- Understanding of confidentiality as it pertains to company finances and personal financial information.
- Ability to work efficiently in a fast-paced environment with tight deadlines.
- Ability to manage multiple tasks and projects at any given time.
- Highly competent with Microsoft Excel, Google Sheets, and all Google Workspace tools.
The pay range for this position is $55,000 - $60,000 per year. The position is also eligible for benefits and a discretionary bonus.

Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
