Hybrid Schedule Philosophy: As part of the Cooley culture, we recognize and appreciate the value of being together, in person, to build comradery with others in the office and to be a contributing member of the Cooley office. However, we also appreciate the benefits and flexibility that come from remote working. As such, the default assumption for employees and partners is a hybrid schedule: some in-office presence and some work from home days absent certain essential in-office roles that require five (5) days/week in-office.
Position summary: The Pro Bono Specialist is responsible for pro bono intake, database management, reports, statistics requests, web publishing, event management, and special projects for the Pro Bono Practice, and generally supports the Firm’s Pro Bono Partner, Pro Bono Counsel and Pro Bono Committee. Specific duties and responsibilities include, but are not limited to, the following:
Position responsibilities:
- Maintain pro bono client and volunteer databases
- Facilitate pro bono client queries, screening, and processing
- Prepare new business forms, conflict sheets and engagement letters, and advise other administrative business professional regarding: same
- Monitor firmwide attorney departures and case reassignments under Pro Bono Partner direction
- Prepare various pro bono reports and statistics
- Serve as designated point of contact to secretaries firmwide on Pro Bono procedures/questions
- Work with Pro Bono Counsel to publish pro bono information, on-line training tools, exemplars, etc.
- Assist with Pro Bono Practice department budget monitoring and annual budget planning process
- Coordinate pro bono trainings in conjunction with partner legal services providers
- Provide support in the development and preparation of pro bono presentations
- Handle pro bono event planning and logistics
- Support Pro Bono Practice involvement with Recruiting, Human Resources, Professional Development, Library and Marketing initiatives as needed
- Provide administrative support to Pro Bono Partner and Pro Bono Counsel including travel arrangements, expenses reimbursements, time entry, etc.
- Prepare a variety of litigation pleadings; arrange for filing and service of documents; electronically file and serve court documents as required by the Court
- Assist Pro Bono Partner, Pro Bono Counsel, and Pro Bono Committee with pro bono projects and initiatives, as necessary
- Handle all incoming telephone calls and placement of outgoing calls in a professional manner
- Maintain good client, third-party, and internal relationships
- Create and maintain files, including chronological files and indexes not stored in Records Department
- Keep all files up-to-date and organized. Ensure materials are forwarded to the Records Department as necessary
- Perform administrative support tasks as needed, including booking travel or conference rooms, coordinating print jobs, mailings, or other document management, and submitting reimbursements
- Perform other tasks and duties as assigned or required by the Pro Bono Partner and Pro Bono Counsel
- All other duties as assigned or required
Skills and experience:
Required:
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
- After orientation and training demonstrate proficiency with Microsoft Access and/or other database management applications
- Available to work overtime, as required
- 3+ years’ prior administrative experience (Senior designation will be considered for those with 4+ years’ applicable experience and have a proven ability to work independently and have demonstrated a mastery of the skills needed for the role.)
Preferred:
- Bachelor's degree
- Previous law firm experience
- Previous legal support and/or executive assistant experience helpful

The expected hourly pay range for this position with a work schedule of 40 hours per week is $36.00 - $47.00 ($74,880.00 - $97,760.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate. Senior level candidates may be considered for this position and would be eligible for a higher salary range based on experience.
