We are looking for a Legal & General Affairs Executive to support Xtremax in managing legal matters, corporate compliance, employment-related regulations, employee relations, and general affairs activities. This role will work closely with management, HR, employees, external legal counsel, government institutions, and other stakeholders to ensure the company’s legal and operational requirements are properly managed and compliant with applicable regulations.
Key Responsibilities
- Handle and review company legal documents, agreements, contracts, and other legal correspondence.
- Support the preparation, review, and administration of employment, vendor, client, partnership, and other business-related agreements.
- Provide support and guidance on Indonesian Labour Law and employment regulations, including company policies and employment practices.
- Ensure employment-related documentation and processes comply with applicable Indonesian labour regulations.
- Support Industrial Relations and Employee Relations matters, including employee grievances, disciplinary actions, employee disputes, and other workplace-related concerns.
- Assist HR and management in handling employee cases and provide recommendations based on applicable labour regulations and company policies.
- Support the preparation and review of employment-related documents, including employment agreements, warning letters, termination documents, and other employee-related correspondence.
- Maintain proper documentation and records related to employee relations and industrial relations matters.
- Coordinate with external legal counsel or relevant authorities when handling complex employment or legal matters.
- Ensure company documents, licenses, permits, and corporate records are properly maintained and up to date.
- Monitor applicable laws and regulations and support the company in maintaining legal and regulatory compliance.
- Assist in managing corporate legal matters, including company registrations, amendments, permits, and other regulatory requirements.
- Coordinate with notaries, government institutions, legal consultants, vendors, and other external parties when required.
- Manage General Affairs activities, including office administration, facilities, company assets, vendors, and other operational requirements.
- Coordinate office-related permits, maintenance, procurement, and other general administrative matters.
- Identify potential legal, employment, industrial relations, or administrative risks and escalate them to management when necessary.
- Provide legal and administrative support to management and internal departments when required.
- Perform other duties and responsibilities related to Legal, General Affairs, Industrial Relations, and Employee Relations as assigned.
Requirements
- Bachelor’s degree in Law, Business Administration, Management, Human Resources, or a related field.
- 2–5 years of experience in Legal, General Affairs, HR/Employee Relations, Industrial Relations, or a similar role.
- Strong familiarity with Indonesian Labour Law and employment regulations.
- Good understanding of Indonesian corporate law, business regulations, employment agreements, and general compliance requirements.
- Experience in reviewing and handling legal agreements and corporate documentation.
- Experience handling Industrial Relations and Employee Relations, including employee grievances, disciplinary matters, workplace disputes, and termination processes.
- Familiarity with company licensing, government regulations, and corporate administration.
- Good understanding of HR policies and their implementation from a legal and compliance perspective.
- Good organizational and documentation skills with strong attention to detail.
- Strong communication and interpersonal skills, with the ability to communicate effectively with employees, management, and external stakeholders.
- Able to handle confidential and sensitive employee and company information professionally.
- Able to work independently while also collaborating effectively with different teams.
- Proactive, responsible, and able to manage multiple tasks and priorities.
- Good command of English, both written and spoken.
- MUST be able to work Onsite in Bandung Office
Preferred Qualifications
- Experience working in a technology company, consulting company, or multinational environment.
- Experience handling employment contracts, company policies, employee disciplinary actions, and termination processes.
- Familiarity with Indonesian Manpower Law, Industrial Relations, BPJS regulations, and other employment-related regulations.
- Familiarity with OSS, AHU, NIB, and other Indonesian corporate/business administration platforms and processes.
- Experience coordinating with external legal counsel, notaries, government institutions, or labour-related authorities.
- Experience managing both Legal and General Affairs responsibilities.
- Professional certification or additional training in Industrial Relations, Labour Law, or Legal Compliance would be an advantage.
