Administrative Specialist

Whitewater, WI

Coperion is seeking a highly organized and detail-oriented Production Planning Specialist II to join our team in Whitewater, Wisconsin. This position provides critical administrative and operational support to the facility, contributing to the efficient day-to-day functioning of the site and supporting continuous improvement initiatives across multiple departments.

Key Responsibilities

• Serve as the site's primary receptionist and telephone operator, providing professional customer and visitor support.
• Coordinate and track facility 5S and Safety Audit programs.
• Support the ISO Quality Management System by maintaining documentation and assisting the Quality Manager with internal and external audits.
• Process and maintain packing slip records within the ERP system.
• Review and approve invoices while managing office supply inventories and purchasing needs.
• Maintain and update a variety of spreadsheets, reports, and operational records.
• Monitor, track, and report facility Key Performance Indicators (KPIs).
• Communicate and coordinate with external vendors to support operational requirements.
• Provide general administrative support to operations, quality, and management teams as needed.

Preferred Qualifications

• Previous experience in a receptionist, administrative, or office support role within a manufacturing or business environment.
• Experience working with ISO 9001 or other Quality Management Systems.
• Strong verbal and written communication skills.
• Exceptional attention to detail and organizational abilities.
• Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
• Experience with SAP or other ERP systems.
• Demonstrated ability to work independently with minimal supervision.
• Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, Visio, and Access.
• Strong reliability, professionalism, and dependability.
