About You
You are a detail-oriented and proactive operations professional with a strong background in procurement, vendor coordination, pricing management, and catalog operations. You thrive in fast-paced environments and bring an analytical mindset to every challenge—from troubleshooting order issues to improving processes that support operational scale. You’ll report to the OSM Lead with a high degree of day-to-day ownership: we trust you to manage your workflows, prioritize what matters, and deliver results independently.
You’ll collaborate closely with Firstbase’s Ops, Customer Success, CX, Product, Sales, and Procurement teams to ensure smooth execution across the purchasing and order lifecycle. You’re comfortable working with tools like JIRA, Slack, and Retool, and you’re always looking for ways to improve efficiency, strengthen vendor performance, and maintain accurate order, inventory, and catalog data.
What You’ll Do and How You’ll Have an Impact
- Manage day-to-day procurement operations, including submitting purchase orders to vendors, tracking order progress, monitoring lead times, updating internal systems, and ensuring accurate order and inventory data to support on-time delivery for customers.
- Support vendor relationship management by meeting virtually with vendors regularly to review outstanding issues, monitor SLA adherence, communicate internal needs, and escalate concerns to leadership when needed.
- Manage pricing requests by gathering quotes, validating vendor pricing, and providing internal stakeholders with the most up-to-date cost information to support purchasing decisions.
- Assist with large or complex procurement requests by coordinating vendor communication, pricing, processing, and execution in partnership with internal teams.
- Own catalog maintenance by ensuring product, pricing, and vendor information is accurate, current, and properly reflected in internal systems and platforms.
- Expand the catalog by identifying new product opportunities, reaching out to potential new vendors and suppliers, screening inbound vendor requests, and supporting the onboarding of new offerings.
- Resolve order exceptions and customer-impacting issues by identifying root causes, coordinating with internal and external stakeholders, and implementing scalable solutions that reduce repeat issues.
- Maintain customer-required inventory levels by monitoring demand signals, supporting replenishment planning, and coordinating with vendors and partners to minimize stock risks.
- Communicate delays, risks, and operational issues clearly and proactively to internal stakeholders, vendor partners, and leadership.
- Partner cross-functionally with Ops, Customer Success, CX, Product, Sales, and Procurement teams through recurring meetings and ad hoc collaboration to align on business priorities, vendor performance, and order execution.
- Analyze customer, order, inventory, vendor, product, and process data to generate actionable insights, identify business challenges, and support operational decision-making.
- Drive continuous improvement by identifying process gaps, drafting and refining workflows, implementing new processes, documenting changes, and supporting training as needed.
- Develop project plans and track initiatives that improve procurement operations, vendor performance, catalog health, and overall business efficiency.
- Become a subject matter expert in procurement workflows, vendor processes, pricing, and catalog operations, serving as a trusted resource for the broader team.
What We’re Looking For
- 2+ years of experience in procurement, operations, vendor management, supply chain, or a related field.
- Hands-on experience placing orders, managing lead times, and coordinating with vendors, OEMs, distributors, resellers, or suppliers.
- Experience managing pricing requests, maintaining product or service catalogs, and supporting catalog expansion initiatives.
- Strong analytical and troubleshooting skills with a focus on process efficiency, data accuracy, and problem-solving.
- Proficiency with operational tools such as JIRA, Slack, Retool, spreadsheets, or similar platforms.
- Bachelor’s degree in Supply Chain, Operations, Business, or a related field (preferred).
- Clear written and verbal communication skills, needed to align internal stakeholders and external vendor partners across a fully remote, global team.
- A proactive, solutions-oriented mindset with the ability to manage multiple priorities, surface risks early, and improve processes before issues reach customers.
