We’re looking for a highly organized and people-focused Office Manager to serve as the bridge between our regional office and Figma’s broader company culture. In this hybrid role, you’ll oversee day-to-day workplace operations, create a welcoming experience for employees and guests, and partner with our global teams on local People initiatives. You’ll help ensure that the office runs smoothly, reflects Figma’s values, and supports employees throughout their journey with the company.
This is a full-time role based in our São Paulo hub.
What you’ll do at Figma:
- Create a welcoming and inclusive workplace experience by assisting employees, guests, vendors, and other visitors
- Oversee daily office operations, including supplies, equipment, facilities requests, workplace safety, and compliance with local health and safety requirements
- Manage relationships with external vendors and partner with IT, Security, and Facilities teams to maintain a safe, reliable, and seamless office environment
- Coordinate logistics and hospitality for in-office meetings, team offsites, cultural celebrations, employee resource group activities, and volunteer events
- Partner with the People team to support regional onboarding, including right-to-work checks, in-person paperwork, onboarding content, and other local requirements
- Manage local People administration, including HR correspondence, employment verifications, required signatures, benefits administration, medical checks, wellness programs, and relationships with local providers
- Serve as a trusted point of contact for regional employees and support the global People team with local employee relations matters, terminations, payroll, time tracking, and other employee lifecycle processes
- Partner with People and Legal teams on local labor requirements and union matters, and provide English–Portuguese translation, interpretation, and cultural guidance when needed
We’d love to hear from you if you have:
- 3+ years of experience in office management, workplace operations, People Operations, HR coordination, or a related role
- Professional fluency in English and Portuguese, with the ability to communicate clearly in both languages
- Experience managing multiple priorities across office operations, employee support, vendors, and events
- Sound judgment and discretion when handling confidential or sensitive employee information
- The ability to work from the office at least four days per week, with occasional flexibility to support events outside standard working hours
While it’s not required, it’s an added plus if you also have:
- Experience managing local health and safety processes or workplace compliance requirements
- Experience working with labor unions or supporting collective labor agreement requirements
- Familiarity with local benefits administration, payroll coordination, employee relations, or employment practices
- Fluency in an additional language
