Position Purpose:

The Office Manager is responsible for overseeing the administrative and operational functions of the branch office, ensuring smooth day-to-day operations, efficient workflow, and strong support for staff and customers. This role manages office staff, coordinates administrative processes, maintains records, and supports operational and sales teams to optimize productivity and customer service. The Office Manager ensures that the branch runs efficiently while upholding Heritage Pool’s standards of excellence, organization, and professionalism.

Key Responsibilities:

• Manage daily office operations, including administrative processes, scheduling, and correspondence.
• Supervise and support office staff, ensuring effective performance, training, and professional development.
• Serve as the primary point of contact for internal teams and external customers regarding administrative matters.
• Maintain accurate records, including employee files, inventory records, and financial documentation.
• Assist with HR-related activities, such as onboarding, benefits administration, and policy compliance.
• Coordinate meetings, travel, and communications for branch leadership.
• Support branch operations by facilitating order entry, billing, invoicing, and reporting.
• Ensure office supplies, equipment, and resources are adequately maintained and available.
• Implement and maintain office procedures, systems, and best practices to improve efficiency.
• Collaborate with branch managers, operations, and sales teams to support business objectives.
• Primarily office-based; prolonged periods of sitting, typing, and computer work
• Ability to lift and move office supplies or files up to 25–30 lbs

Working Conditions:

• Office environment with occasional exposure to warehouse or branch operations
• Fast-paced, high-volume administrative setting requiring multitasking and organization

Minimum Qualifications:

• Strong communication, organization, and interpersonal skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office software
• Able to pass background and drug screenings

Minimum Education:
High school diploma or equivalent

Minimum Years of Work Experience:
2+ years of office management, administrative, or supervisory experience
