Job Summary

The National Fleet and Disposal Co-ordinator provide and oversees NAV CANADA’s national vehicle fleet to meet internal operational requirements in a cost-effective and efficient manner. The position manages day-to-day fleet activities, including fuel, repairs, maintenance, licensing and registration, and oversees the day-to-day operational performance of NAV CANADA’s contracted fleet services provider against established contractual and service requirements.

The position facilitates fleet acquisitions by gathering operational requirements and supporting the evaluation, procurement or leasing of vehicles and specialized fleet equipment within approved procurement processes and delegated authorities. The position also coordinates the disposition of fleet assets that have reached the end of their lifecycle or have been identified as surplus to operational requirements within approved disposal processes and delegated authorities.

Key Accountabilities:

  • Coordinate and oversee NAV CANADA's national fleet program, ensuring vehicles and specialized equipment are available, properly maintained, compliant, and aligned with operational requirements.
  • Manage fleet operations, including maintenance, repairs, fuel programs, telematics, licensing, registration, and vendor service delivery to ensure efficient and cost-effective fleet performance.
  • Maintain accurate fleet asset inventories, records, and lifecycle data while supporting fleet reporting, performance monitoring, and decision-making.
  • Analyze fleet utilization, vehicle condition, operating costs, and service requirements to recommend fleet optimization, renewal, replacement, redistribution, and right-sizing initiatives.
  • Coordinate the procurement, leasing, and replacement of vehicles and specialized equipment, including requirements gathering, business case development, vendor engagement, and support for evaluation and selection processes.
  • Develop, monitor, and manage fleet operating and capital budgets, forecasts, and business cases to support effective lifecycle management and cost control.
  • Build and maintain effective relationships with fleet service providers, manufacturers, dealerships, and internal stakeholders, while supporting contract performance monitoring and supplier management activities.
  • Administer fleet disposal activities, including asset retirement, surplus asset management, sales coordination, and revenue recovery in accordance with approved policies and procedures.
  • Ensure fleet operations comply with applicable regulatory, safety, licensing, airport, and organizational requirements, including airside vehicle standards where applicable.
  • Prepare reports, presentations, and recommendations on fleet performance, sustainability initiatives, emerging technologies, and continuous improvement opportunities to support operational and strategic objectives.

Job Requirements

Education:

  • Successful completion of secondary school education.

Experience:

  • 3-5 years of related experience in fleet administration, lifecycle management and asset disposal, or an equivalent combination of education, training and experience
  • Experience administering a geographically dispersed fleet of 200 or more vehicles. Experience with telematics systems is an asset.
  • Experience administering supplier contracts or service-level agreements.
  • Experience supporting vehicle procurement or leasing processes.
  • Experience in preparing budgets, forecasts or capital business cases.

Knowledge:

  • Knowledge of fleet management and vehicle lifecycle-management principles, practices, and processes.
  • Knowledge of fleet asset acquisition, leasing and disposal practices.
  • Knowledge of financial planning, budgeting, forecasting, and cost management principles.
  • Knowledge of vehicle licensing, applicable regulatory, and compliance requirements
  • Knowledge of fleet management technologies, including telematics systems and related data-reporting tools.

Abilities :

  • Ability to analyze fleet, finance, utilization and supplier-performance data.
  • Ability to develop evidence-based findings and recommendations.
  • Ability to exercise judgment and work independently within established policies, procedures and delegated authorities.
  • Ability to coordinate activities and influence internal and external stakeholders without formal supervisory authority.
  • Proficiency with fleet-management systems, telematics, reporting tools and standard business software Ability to apply vehicle maintenance-management principles

  • Strong written, verbal and interpersonal communication skills, including the ability to explain requirements and obtain stakeholder cooperation.
  • Strong planning, organization and prioritization skills .
  • Analytical and problem-solving skills involving operational, financial and service-delivery considerations.
  • Negotiation and supplier-relationship skills
  • Budget monitoring, forecasting and business-case development skills

Working conditions:

  • Occasional travel to NAV CANADA and supplier locations.
  • Requires a valid driver's license.

Flexible work arrangements:

  • This position is a hybrid position with a minimum 3 days per week on site.
  • The work location is Ottawa Head Office (151 Slater St., Ottawa, ON).
