The team is advancing a data-informed model that evaluates the attendee journey, translates insights into recommendations, and connects event execution to business outcomes.

The Opportunity

The Meeting & Event Planner is a hands-on project leader within SEI Global Marketing's Events Team. This role partners with business stakeholders, marketing colleagues, and external vendors to deliver thoughtful, well-executed experiences across in-person, virtual, and hybrid formats. The planner owns assigned programs from initial brief through post-event follow-up, balancing creative experience design with operational discipline, budget stewardship, risk awareness, and measurable results.

What You Will Do:

  • Lead assigned events from concept through closeout, including discovery, objectives, project plans, timelines, budgets, venue and vendor coordination, registration, attendee communications, on-site execution, reconciliation, and post-event reporting.

  • Serve as the primary project manager for program deliverables, clarifying roles, milestones, dependencies, approvals, and decisions across Global Marketing, business stakeholders, and event partners.

  • Translate business objectives and audience needs into event strategies, formats, agendas, and experience details that reinforce SEI's brand and positioning.

  • Build and maintain detailed working documents, including project plans, budgets, registration reports, production schedules, run-of-show documents, rooming lists, and stakeholder updates.

  • Manage vendor sourcing and relationships, including proposals, contracts, service expectations, production requirements, and invoice reconciliation, in partnership with the appropriate internal teams.

  • Administer event technology and registration workflows using Cvent, ON24, Microsoft 365 tools, and other approved platforms; support accurate attendee data and effective stakeholder reporting.

  • Monitor registration, engagement, attendee feedback, budget performance, and other agreed measures; summarize findings and recommend improvements for future programs.

  • Deliver a high-touch client and guest experience by anticipating needs, resolving issues calmly, and maintaining polished communication before, during, and after each event.

  • Coordinate on-site logistics and production, including venues, food and beverage, transportation, hotel accommodations, audiovisual needs, speakers, signage, staffing, and contingency plans.

  • Contribute to shared team standards, templates, supplier knowledge, process improvements, and post-event learnings while supporting colleagues during peak periods.

  • Ensure event plans follow applicable SEI policies, approval requirements, accessibility considerations, and health, safety, privacy, and risk-management expectations.

What We Need From You:

  • 5-8 years of meeting, event, conference, or incentive-planning experience, with demonstrated ownership of multiple concurrent programs.

  • Bachelor's degree or equivalent combination of education and relevant professional experience.

  • Strong project-management, organizational, problem-solving, and prioritization skills, with close attention to detail.

  • Clear, polished written and verbal communication skills and the confidence to work with stakeholders at different levels of the organization.

  • A client-first mindset and a track record of creating welcoming, responsive, and professional attendee experiences.

  • Working proficiency in Microsoft Outlook, Excel, Word, PowerPoint, and Teams; experience with Cvent is strongly preferred.

  • Comfort working with budgets, registration data, survey feedback, and event-performance measures to identify insights and inform recommendations.

  • Ability to work independently, collaborate across teams, learn quickly, and remain composed in a fast-paced and occasionally unpredictable environment.

  • A solution-oriented, technology-comfortable approach, sound judgment, and a positive, accountable, can-do attitude.

  • Flexibility to support early mornings, evenings, and occasional weekends based on program needs, plus the ability to travel up to 25%.

How Success Will Be Demonstrated:

  • Programs are delivered safely, professionally, on time, and within approved budgets.

  • Stakeholders receive clear communication, dependable project leadership, and timely escalation of risks or decisions.

  • Attendees experience consistent, thoughtful service across the full event journey.

  • Event data, feedback, and financial information are accurate, organized, and converted into actionable recommendations.

  • Processes, templates, and partner relationships improve over time through disciplined follow-up and shared learning.

Location & Travel

This is an on-site position based in Oaks, Pennsylvania. The role may require travel of up to 25%, as well as schedule flexibility based on event needs.
