Job Description Summary

The US Manager, Medical Enablement Lead drives operational excellence across US Medical Affairs & with relevant internal and agency partners by ensuring disciplined operational governance, strengthening publication compliance, and enabling reliable execution of the US Medical Communications united team budget.

This role serves as a critical cross-functional partner with the US Medical Communications team, Medical Strategy Team program managers, Finance, Procurement, Contracts, ERC, US Transparency Office, NoCC Operational Managers, Medical Communication agency partners, Global Publication Excellence team, and external authors overseeing budgets, scopes, purchase-order workflows, service confirmations, forecasts, invoices, and portfolio reporting, while providing U.S. quality control and audit-readiness oversight for critical publication processes, including business needs assessments and transfer of value activities.

The role is also responsible for strengthening the sustainability of the decentralized operating model by leading cross-NoCC process integration, training, business continuity, performance monitoring, and adoption of digital, automation, and AI-enabled solutions in accordance with enterprise standards and governance.

 

Job Description

Key Responsibilities:

 

Operational Excellence and Governance

• Reinforce consistent US operating standards, governance processes, decision rights, and accountability across Medical Communications activities related to publication management and budget management.
• Identify operational risks, process gaps, and execution barriers; lead timely resolution and implement scalable improvements that strengthen performance.
• Drive adoption of standardized tools, templates, processes, and ways of working across internal teams and external partners related to publication management and budget management
• Monitor and communicate operational performance indicators to improve transparency, accountability, and continuous improvement related to publication management and budget management.

Financial and Scope Management

• Own end-to-end operational oversight of assigned Medical Team budgets, scopes of work, purchase-order workflows, forecasts, phasing, and utilization – including US associate based required oversight.
• Lead rigorous review and approval of tactical plans and scopes to ensure strategic alignment, financial discipline, resource optimization, and readiness for execution.
• Monitor budget performance, commitments, monthly submissions, invoices, and variances; proactively identify risks and drive corrective action.
• Partner with Finance, Procurement, program managers, business owners, NoCC operations managers and agencies to improve forecast accuracy, resolve financial issues, and maximize value from available resources.
• Prepare portfolio-level reporting and actionable insights for leadership to support timely decisions, prioritization, and resource allocation.

Publication Compliance and Quality

• Lead as a US medical affairs single point of accountability for final quality control across US publication governance activities such as business needs assessment, transfer of value reporting, US author travel, ensuring adherence to internal processes, documentation requirements, US governance standards, and audit-readiness expectations.
• Serves as a US publication operations SME for onboarding NoCC operation managers to publication processes and collaborating with GMA publication excellence team to develop new, efficient ways of working related to publication operations (i.e. AI/automation models for TOV reporting).  
• Ensure US Medical Communications publication activities comply with company policies, regulatory standards, and applicable industry guidelines, including GPP and ICMJE.
• Monitor compliance risks and process deviations; coordinate remediation, escalation, and preventive actions as appropriate.
• Promote consistent quality standards and disciplined execution across internal teams, vendors, and agency partners.

Digital, Data, and Process Innovation

• Apply data-driven thinking and emerging digital and AI-enabled tools to improve the quality, speed, and consistency of medical communications execution in alignment with enterprise AI standards and governance.
• Support publication and budget change management, training, and capability building.

Essential Requirements:

·       5+ years in pharmaceutical industry.

·       5+ years of experience in US medical/scientific communications publication operations and regulations.

·       5+ years of experience in pharmaceutical industry budget management.

·       Deep understanding of medical affairs, clinical research, publication planning, and regulatory environments.

·       Exceptional written and verbal communication skills.

·       Strong project management and stakeholder engagement capabilities.

·       Proficiency in MS Office and financial reporting tools (e.g. SAP).

·       Excellent analytical, problem-solving, negotiating and interpersonal skills.

·       Proven track record of leading within a matrixed organization.

Demonstrates strong data literacy and applies digital and AI-enabled thinking strategically and responsibly to improve decision speed, outcomes, and competitive advantage, while modeling effective AI use across the team, embedding AI tools into workflows, guiding responsible AI practices, and fostering experimentation and continuous learning.

The salary for this position is expected to range between $126,000.00 and $234,000.00 per year.

The final salary offered is determined based on factors like, but not limited to, relevant skills and experience, and upon joining Novartis will be reviewed periodically. Novartis may change the published salary range based on company and market factors.

Your compensation will include a performance-based cash incentive and, depending on the level of the role, eligibility to be considered for annual equity awards.
