Manager, Administrative Operations
The University of Miami/UHealth Department of Surgery has an exciting opportunity for a Full Time, Manager of Administrative Operations to work in Miami.
Core Job Summary:
The Manager, Administrative Operations oversees departmental/office activities and services including the supervision of staff to achieve maximum productivity and expense control. The incumbent develops procedures and policies for administrative activities and other related internal operations.
Core Responsibilities:
- Ensures all administrative operations run smoothly and efficiently.
- Coordinates, plans and directs services which support the department.
- Plans and coordinates the duties of staff in addition to analyzes complex administrative concerns.
- Develops and implements department processes.
- Recruits and trains support staff.
- Manages staff in the day-to-day performance of their jobs.
- Ensures projects and department milestones/goals are met and adheres to approved budgets.
- Purchases and maintains office equipment and supplies.
- Tracks and analyzes operational costs.
- Coordinates delivery of services with other departments.
- Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.
Department Specific Functions:
- Work closely with Division Chief / Acting Chief
- Work Surgery WQ for Surgical Oncology. Address with any provider any deficiencies: ie: op reports pending, coding pending, attestation pending, etc
- Work with providers on any surgery denials
- Run reports to review status of charges for providers (Power BI)
- Run Open Encounter report and advise providers of any encounter open past 3 business days
- Knowledge and experience in Epic
- Schedule Surgical Oncology patients for both clinic visits and surgeries
- Schedule patients for Dept Surgical Oncology Referral WQ’s
- Work closely with Faculty
- Oversees all functions of Division of Surgical Oncology
- Review daily any Workday time off requests and request from Admin Assist any PLR’s needed
- Manage all day-to-day activities of Division of Surgical Oncology
- Work closely with direct supervisor
- Work with Admin Assist to make sure that all recredentialing is completed in timely fashion

Core Qualifications:
- High school diploma or equivalent; Bachelor’s degree preferred
- Minimum 3 years of relevant experience
- Ability to accurately prepare and maintain records, files, reports and correspondence
- Ability to communicate effectively in both oral and written form.
- Ability to maintain effective interpersonal relationships.
- Ability to direct, manage, implement, and evaluate department operations.
- Ability to effectively plan, delegate and/or supervise the work of others
- Knowledge of business and management principles
