Job Description

Position Summary

The Litigation Paralegal is responsible for supporting the administration and coordination of litigation and pre-litigation matters across the organization’s single-family rental portfolio. This position supports the Legal Department with matter management, factual investigation, discovery and subpoena responses, routine legal documentation, and coordination with internal stakeholders and outside counsel, and contributes to contract management and compliance initiatives. The position requires excellent organizational skills, attention to detail, discretion, strong collaboration, and the ability to manage competing priorities in a fast-paced environment.

Essential Job Functions

1. Functional Responsibilities

· Coordinate and support internal management of litigation and pre-litigation matters, including status tracking, factual investigation, document collection, case-file organization, calendaring, and coordination with outside counsel, under attorney direction.

· Prepare and assist with discovery responses, insurance claims investigations, subpoena responses, document productions, legal holds, and other litigation-related materials; coordinate with internal teams, insurance representatives, and outside counsel to share timely information and records.

· Prepare routine legal documents and correspondence, including releases, notices, settlement paperwork, and matter summaries, for attorney review, approval, and execution.

2. Operational / Departmental Support

· Monitor and triage service of process, Legal Department inbox, physical mail, and incoming requests; route matters, track follow-up items, and appropriately escalate time-sensitive or sensitive issues.

· Coordinate with team members across the organization to gather facts and documents and support timely responses to legal and litigation matters.

· Assist with contract management, administration, and execution, including management of signature process, consents, amendments, completed-document handling, and post-signature issues, under attorney direction.

3. Compliance & Risk Management

· Assist Legal & Compliance Team with compliance audits and initiatives by gathering supporting documentation, maintaining workpapers, tracking remediation items, and organizing follow-up materials.

· Maintain complete, accurate, and appropriately organized litigation, dispute, and legal records in accordance with company procedures and attorney direction.

· Identify recurring dispute trends, documentation gaps, or process issues and escalate potential legal or compliance risks to the appropriate attorney.

4. Financial / Performance Accountability (If Applicable)

· Assist with outside counsel invoice review, matter budgets, accrual support, settlement documentation, and recovery tracking, as applicable.

· Support cost-effective matter administration.

· Maintain accurate records of settlement and other matter-related payments or recoveries, as directed.

5. Leadership / Collaboration (If Applicable)

· Work closely with attorneys and cross-functional stakeholders to keep matters moving, communicate status, and ensure requested information is complete and timely.

· Coordinate professionally with outside counsel, opposing counsel, claims representatives, vendors, courts, and governmental or regulatory agencies as directed by attorneys.

· Handle confidential and sensitive information with sound judgment, discretion, and professionalism.

Performance Expectations & Key Metrics

Performance will be evaluated based on measurable outcomes aligned with company and departmental goals. Metrics may include:

· Timely and accurate completion of assigned litigation, discovery, subpoena, and matter-administration tasks

· Accuracy and completeness of litigation trackers, calendars, files, and supporting documentation

· Timely identification and escalation of deadlines, risks, and incomplete information

· Responsiveness and service quality for attorneys and internal stakeholders

· Reduction of avoidable administrative work and outside counsel support costs through effective matter coordination

· Contribution to improved legal processes, organization, and consistency across a high-volume portfolio

Department-specific KPIs may include response-time standards, deadline compliance, matter-file completeness, tracker accuracy, and volume of matters or requests handled.

Required Qualifications

Education

· Bachelor’s degree or paralegal certificate; equivalent relevant education and experience may be considered.

Experience

· 3+ years of experience as a litigation paralegal or legal assistant.

Skills & Competencies

· Strong organizational, time-management, and prioritization skills

· High level of familiarity with legal documents including pleadings, discovery requests, subpoenas, easement requests, corporate documents, and contracts

· Excellent written and verbal communication skills and professional judgment when interacting with business stakeholders and external parties

· Strong attention to detail, analytical thinking, and problem-solving skills

· Proficiency with Microsoft Office Suite, task and document management systems

· Ability to manage high-volume matters and competing deadlines while maintaining accuracy; working knowledge of civil litigation, discovery, subpoenas, document preservation, confidentiality, and privilege

Preferred Qualifications

· Experience supporting an in-house legal department or lean legal team across multiple practice areas

· Experience with residential real estate, property management, landlord-tenant, or insurance defense litigation

· Industry certifications or licenses: Paralegal certificate and/or NALA, NFPA, or similar credential preferred
