In this role, you will help strengthen the Division's ability to organize, manage, protect, retain, and leverage information throughout its lifecycle. Working closely with legal, governance, privacy, records management, information security, and technology stakeholders, you will lead initiatives that improve information accessibility, discoverability, reliability, and reuse while supporting compliance with legal, regulatory, and corporate governance requirements.

You will play a key role in advancing knowledge management and information governance practices across the Division, supporting business process improvements, and enabling the responsible use of emerging technologies, including artificial intelligence (AI). Through your work, you will help improve operational effectiveness, support informed decision-making, and contribute to the efficient delivery of legal and customer project services.

What You'll Do

  • Develop, implement, and maintain information governance and knowledge management practices, including classification structures, taxonomies, metadata, information architecture, repositories, collaboration sites, and knowledge bases.
  • Improve the organization, accessibility, searchability, and reuse of information and knowledge assets.
  • Research emerging information governance, knowledge management, and AI trends; prepare reports and recommendations on risks and opportunities.
  • Deliver awareness sessions, practical guidance, and coaching to support effective information and records management practices.
  • Develop and maintain a Law Division knowledge and information management roadmap aligned with enterprise priorities.
  • Assess and improve current-state business and information management processes through process mapping, gap analysis, change management, training, and adoption monitoring.
  • Gather business requirements and support user acceptance testing, implementation, and adoption of new technologies.
  • Identify, assess, and document responsible AI use cases while considering legal, privacy, security, records management, and information governance requirements.
  • Collaborate with governance, legal, IT, privacy, records management, information security, and business stakeholders to embed information governance requirements into processes and technology initiatives.
  • Represent the Law Division on AESO data, information, and AI management committees.
  • Support records lifecycle management activities, including classification, metadata, version control, retention, disposition preparation, templates, precedents, and guidance documents.
  • Contribute to special projects and governance initiatives as required.

What You'll Bring

  • Degree in records management, information management, library and information studies, data management, business administration, knowledge management, computer science, or a related field. Equivalent education and experience may be considered.
  • 5–7 years of experience in legal knowledge management, information management, records management, data governance, content management, or a related discipline.
  • Experience applying responsible use of AI or other emerging technologies to improve operational effectiveness, knowledge management, decision-making, or process efficiency.
  • Proven ability to organize, maintain, and improve information repositories, knowledge bases, and collaborative workspaces.
  • Strong hands-on experience working within SharePoint or Microsoft 365 environments.
  • Experience training business users and facilitating information or knowledge-sharing initiatives.
  • Demonstrated ability to gather requirements, analyze and map information processes, identify gaps, and recommend practical improvements.
  • Experience managing sensitive, confidential, or legally privileged information.
  • Excellent written and verbal communication skills, with the ability to translate technical, legal, policy, or procedural requirements into practical guidance.
  • Strong organizational skills and the ability to manage multiple priorities in a collaborative environment.
  • Additional training or certification in records management, information governance, privacy, knowledge management, data governance, or responsible AI is considered an asset.
  • Experience leading responsible AI, digital transformation, or process improvement initiatives is considered an asset.
  • Experience with metadata, taxonomy, document lifecycle, search, or repository design is considered an asset.
  • Experience implementing privacy, access-to-information, records, policy, and AI governance requirements is considered an asset.
  • Experience in legal operations or regulated industry environments is considered an asset.

Why Join AESO

  • Help shape the future of information governance, knowledge management, and responsible AI practices.
  • Partner with legal, governance, privacy, records management, information security, and technology experts across the organization.
  • Drive initiatives that improve how information is organized, accessed, protected, and leveraged for decision-making.
  • Contribute to enterprise-wide improvements that enhance operational effectiveness and compliance.
  • Thrive in a collaborative environment where curiosity, continuous improvement, and practical problem-solving are valued.
