Import/Export Specialist

DESCRIPTION

Join our team as an Import/Export Specialist at Thermo Fisher Scientific, where you will play a key role in supporting the international movement of medications, materials, and supplies required for clinical trial protocols across the Andean Region, with occasional support for Argentina.

You will coordinate import and export activities throughout the shipment lifecycle, ensuring compliance with applicable customs, regulatory, quality, and international trade requirements. The role includes reviewing regulatory approvals and import/export documentation, maintaining protocol-specific tracking information, monitoring shipments in transit, and coordinating customs clearance and release activities to support the timely delivery of clinical trial supplies.

As a subject matter resource for import and export processes, you will provide guidance to internal teams, clients, CROs, and other external partners regarding country-specific importation requirements and the documentation needed to successfully execute clinical trial shipments. You will work closely with Operations, Client Services, Finance, Commercial teams, project stakeholders, customs brokers, and logistics providers to ensure effective execution and timely resolution of operational issues.

The position will also support the financial administration of import/export operations by reviewing operational charges, coordinating vendor payments and customer billing information, and contributing to monthly invoicing activities.

You will actively monitor suppliers and logistics partners, identify opportunities to improve existing processes, and collaborate with internal and external stakeholders on initiatives focused on operational efficiency, compliance, service quality, and cost optimization.

KEY RESPONSIBILITIES

  • Execute and coordinate import and export processes for clinical trial medications, materials, and supplies across the Andean Region, providing occasional support for Argentina as required.
  • Review regulatory and Ministry of Health approvals and assess their impact on import/export requirements.
  • Review documentation for new import and export operations, ensuring accuracy, completeness, and compliance with applicable regulations.
  • Maintain and monitor protocol-specific import/export tracking tools and documentation.
  • Track international shipments in transit and coordinate customs clearance and release activities with customs brokers, carriers, and other logistics partners.
  • Provide guidance to internal and external stakeholders regarding import/export processes, country-specific requirements, and importer responsibilities.
  • Collaborate with clients, CROs, vendors, Operations, Client Services, Commercial, Finance, and project management teams to ensure effective execution of clinical trial shipments.
  • Follow up with suppliers and service providers to ensure timely and compliant execution.
  • Review operational charges and support vendor payment, customer billing, and monthly invoicing processes.
  • Maintain accurate operational records and prepare reports and tracking information as required.
  • Identify opportunities for process optimization, cost reduction, and continuous improvement across import/export activities.
  • Support the resolution of operational and regulatory issues that could impact shipment timelines or clinical trial supply continuity.
  • Ensure activities are performed in accordance with applicable GMP, GCP, GDP, trade compliance, customs, and pharmaceutical requirements.

REQUIREMENTS

  • Bachelor’s degree required, preferably in International Trade, Foreign Trade, Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum of 2 years of relevant experience in international trade, import/export, logistics, or customs operations, preferably within the pharmaceutical, healthcare, or clinical trials industry.
  • Strong knowledge of international trade regulations, customs procedures, and import/export documentation requirements.
  • Experience coordinating international shipments and customs clearance processes.
  • Knowledge of pharmaceutical and clinical trial environments and applicable GMP, GCP, and GDP standards is preferred.
  • Knowledge of Incoterms 2020 and international shipping requirements.
  • Experience working with regulatory documentation and government or health authority requirements is preferred.
  • Demonstrated ability to work effectively with cross-functional and multicultural teams, including internal stakeholders, clients, CROs, vendors, customs brokers, and logistics providers.
  • Strong project management, organizational, and prioritization skills, with the ability to manage multiple activities simultaneously.
  • Strong analytical and problem-solving skills, with a continuous improvement mindset.
  • Excellent attention to detail and accuracy, particularly in regulatory, customs, and shipping documentation.
  • Strong written and verbal communication skills, with the ability to effectively manage customer and stakeholder expectations.
  • Experience identifying process optimization and cost reduction opportunities.
  • Proficiency in Microsoft Office Suite and experience with logistics, trade compliance, or enterprise systems. Experience with OneSource or similar platforms is advantageous.
  • Ability to maintain accurate records, tracking tools, and operational reports.
  • Intermediate or higher English proficiency, both written and spoken, required; additional language skills are advantageous.
