We are seeking a strategic, efficient, detail-oriented and people-first HR Specialist. This role is the operational engine of our HR administration: processing employee status changes, administering leave of absence workflows, running our weekly benefits operations cadence, answer emails and employee/manager questions, and maintaining data quality across our HR systems. You will work from documented runbooks with a US-based senior HR manager as your escalation partner, and you will help improve those runbooks as our processes are progressively automated.
Key Responsibilities:
Employee Status Change Administration (~30%)
- Execute employee status changes end-to-end in BambooHR using our documented change matrix: employment status changes (part-time/full-time, contractor conversions), role changes, promotions, campus and entity transfers
- Update job records, compensation table entities, PTO accrual policies, workers' compensation classifications, tax withholding, and system sync settings per the matrix
- Create downstream tickets (IT, expense systems, distribution lists) and required notifications for each change type
- Maintain the benefit tracking and entity transfer tracking lists; upload change letters to employee records
Leave of Absence Administration (~20%)
- Process leave requests handed off from the US-based intake owner: status changes into and out of leave, eligibility tracking, benefit continuation coordination
- Complete employer-action steps on The Standard's portal for disability and leave claims; track claim status
- Produce the monthly leave of absence audit and the monthly unpaid leave and deductions report
- Process return-to-work changes, including accrual recalculations
Benefits Administration Operations (~30%)
- Run the weekly benefits cadence: life event review and processing (PlanSource/BambooHR), evidence-of-insurability tracking and approvals, status-change benefit eligibility review, carrier import error triage, enrollment communications
- Maintain Savii (ICHRA platform) additions and terminations
- Pull, scrub (PII removal per protocol), and distribute recurring reports: claims funding, check register, supervisor ID, ACA hours uploads
- Prepare vendor invoices for the AP workflow; confirm retirement plan contribution processing
- Support open enrollment execution: communications, completion tracking, life-event surge processing
- Support payroll cycles with benefit deduction pulls and discrepancy flags (payroll itself is owned onshore)
Onboarding/Offboarding Audit & Verifications (~10%)
- Audit the automated onboarding/offboarding flow; resolve edge cases (rehires, mid-cycle changes, sync failures)
- Review scanned I-9 documentation in final review (physical verification is completed at the school level)
- Produce employment and income verification letters on request
Employee Support and HR Inbox Management (~5%)
- Answer all HR inbox emails within 24 hours
- Guide managers with process questions and support through email and Teams message channels
Recurring Data Audits (~5%)
- Execute the scheduled audit calendar: PTO accrual policy assignment, payroll entity review, salary threshold and minimum wage reviews, annual notice distributions, holiday calendar updates
- Log findings; route anything requiring employee or manager follow-up to the onshore escalation owner
On-demand Back-Up Support
- Employee relations, staff support, and investigations – cross-trained to be able to serve as back-up investigator in employee relation investigations in collaboration with Compliance, People Ops, Legal, and Senior Leadership team following protocols and scripted interview guides.
Requirements
Must-Haves:
- 2+ years in HR operations, benefits administration, or HR shared services supporting a US-based employer; US benefits exposure strongly preferred (medical/ICHRA, dental/vision, 401(k), FMLA and state leave concepts)
- Hands-on HRIS experience — BambooHR strongly preferred; PlanSource or a comparable benefits administration platform a plus
- Strong Excel skills (filtering, lookups, report manipulation); comfortable working across multiple web portals daily
- Excellent written and verbal English; clear, professional email communication with US-based staff and vendors
- Demonstrated discipline with confidential data (SSNs, compensation, medical-adjacent information); prior experience under a PII handling protocol preferred
- Detail orientation with a track record of zero-miss recurring execution; references should speak to reliability
- Comfortable with a documented-backup arrangement (a second trained person maintained by the staffing partner)
Nice-to-Haves:
- Experience in education or related fields working with educators.
- Familiarity with employment and labor law, regulation, and HR compliance
- Experience in Employee Relation, handling tricky employee-related investigation
- A commitment to and understanding of diversity, equity, and inclusion best practices in recruitment.
