Mission Brief
As Executive Assistant to the Chief of Staff, you will be an integral part of the CEO Office and act as the organizational backbone for the Chief of Staff. You will manage priorities, coordinate stakeholders and ensure smooth execution across a demanding and dynamic schedule.
Your Role in Our Space Mission:
- Managing the Chief of Staff’s calendar, meetings, priorities and key deadlines, proactively resolving conflicts and anticipating upcoming needs
- Coordinating internal and external meetings with members of the Executive Leadership Team, senior stakeholders and key partners
- Preparing meetings, agendas and briefing materials and ensuring effective follow-up on decisions, commitments and action items
- Keeping track of key commitments, open topics and follow-ups across the CEO Office
- Coordinating information and inputs from different functions to ensure the Chief of Staff is well prepared for meetings and decisions
- Supporting the preparation and coordination of internal presentations, reports and management materials
- Organizing CEO Office routines, leadership formats, travel and selected company-wide meetings
- Providing hands-on support for selected initiatives and special projects led by the Chief of Staff
- Ensuring that information, decisions and follow-ups flow efficiently between the CEO Office and the wider organization
- Identifying organizational gaps or bottlenecks and proactively helping resolve them
- Handling confidential and sensitive information with the highest level of discretion
- Continuously improving processes and ways of working within the CEO Office
Qualification Checklist
You are exceptionally organized, reliable and proactive. You enjoy enabling a senior leader to operate at their best, creating structure around a demanding schedule and working confidently with people across different functions and levels of seniority.
- Several years of experience as an Executive Assistant, Personal Assistant or in a comparable executive support role; experience in an Executive or CEO Office is a strong advantage
- Excellent organizational and prioritization skills
- A proactive mindset and a strong sense of ownership
- The ability to keep track of multiple workstreams, deadlines and stakeholders simultaneously
- Strong written and verbal communication skills
- Confidence interacting with senior stakeholders across the organization
- Strong proficiency with modern productivity and collaboration tools, including PowerPoint
- Attention to detail combined with the ability to understand broader organizational priorities
- High levels of reliability, professionalism and discretion
- The ability to remain calm and effective when priorities change at short notice
- A hands-on attitude and willingness to take responsibility beyond a narrowly defined job description
- Excellent written and spoken English; German is an advantage
