GENERAL PURPOSE

The Executive Assistant provides high-level, proactive administrative, operational, and project support to the Chief Global Product Officer. This role serves as a trusted partner who anticipates needs, manages complex and competing priorities, exercises sound judgment, protects confidential information, and enables the executive and Global Product leadership team to operate effectively in a dynamic, fast-paced, global environment.

ESSENTIAL FUNCTIONS

Strategic Executive Partnership

  • Serve as a trusted partner to the Chief Global Product Officer, developing a deep understanding of the executive’s priorities, leadership objectives, key stakeholders, and operating style, as well as major Global Product initiatives, launches, portfolio priorities, and business milestones.
  • Anticipate needs, risks, dependencies, and emerging priorities, proactively addressing issues before they require executive attention.
  • Exercise sound judgment regarding what requires executive involvement, what can be delegated, and what can be resolved independently.
  • Represent the executive appropriately by communicating known priorities, directing inquiries, and initiating timely follow-up when needed.
  • Build trusted relationships with senior leaders, Executive Assistants, internal partners, and external stakeholders to facilitate coordination and execution.

Executive Calendar and Priority Management

  • Own and strategically manage a highly complex global calendar, treating executive time as a critical business resource.
  • Prioritize competing requests using business context, enterprise priorities, and Global Product priorities rather than simply scheduling in the order requests are received.
  • Anticipate preparation requirements, travel implications, decision points, and potential conflicts.
  • Establish and maintain effective operating rhythms across the Global Product organization, including leadership meetings, product reviews, portfolio discussions, innovation reviews, business planning cycles, and key decision forums.
  • Create appropriate space for strategic thinking, preparation, stakeholder engagement, and follow-up.
  • Screen and prioritize correspondence, inbox items, meeting requests, and inquiries, resolving or routing matters appropriately.

Global Product Organization Support

  • Develop a strong working understanding of the company’s global product portfolio, innovation strategy, product development process, design organization, commercialization process, and major business priorities, applying business acumen and intellectual curiosity to understand the context behind requests.
  • Coordinate key milestones and executive engagement throughout the product lifecycle, from strategy and concept development through commercialization and launch.
  • Partner closely with Product, Design, Engineering, Marketing, Finance, Operations, Supply Chain, Sales, Legal, and other functions to enable effective cross-functional coordination and execution.

Leadership Team Effectiveness

  • Serve as a key coordination point for the Chief Global Product Officer’s leadership team.
  • Develop and manage leadership meeting agendas, materials, priorities, and follow-up.
  • Coordinate leadership offsites, strategy sessions, product reviews, planning meetings, all-hands meetings, and other key organizational events.
  • Track actions, commitments, decisions, and deliverables from leadership meetings and coordinate follow-up communications to ensure appropriate follow-through.
  • Provide backup support and coverage across the Executive Assistant team as needed.

Executive Communications, and Briefing

  • Draft, edit, and coordinate high-quality communications on behalf of the Chief Global Product Officer, including presentations, briefing materials, correspondence, talking points, reports, and other executive-ready content.
  • Synthesize complex information from multiple sources into concise, decision-ready materials.
  • Ensure the executive is appropriately prepared for critical meetings, presentations, customer engagements, product reviews, and external events.
  • Maintain the highest standards of accuracy and professionalism in all communications.

Project and Initiative Leadership

  • Lead or coordinate special projects and strategic initiatives on behalf of the Chief Global Product Officer, independently driving assigned initiatives from concept through completion where appropriate.
  • Establish project plans, milestones, owners, and follow-up mechanisms to support execution.
  • Track key decisions, deliverables, risks, dependencies, and outstanding actions and proactively surface issues requiring leadership attention.
  • Conduct research, gather and organize information, analyze options, and develop recommendations as requested.
  • Follow up with stakeholders on agreed-upon deadlines and commitments while maintaining strong, collaborative relationships.

Global Travel, Events, and Administrative Management

  • Plan and execute complex domestic and international travel, including detailed itineraries, transportation, accommodations, meeting logistics, and contingency planning.
  • Coordinate across time zones and geographies to maximize executive effectiveness while managing an intensive global schedule.
  • Provide proactive support when travel plans or business priorities change unexpectedly.
  • Process, track, and reconcile expenses and support appropriate purchasing, budget, and administrative processes.
  • Ensure meeting logistics, materials, technology, and other requirements are coordinated effectively.

Confidentiality and Executive Judgment

  • Independently handle highly confidential and proprietary information concerning products, strategy, intellectual property, partnerships, organizational matters, financial information, and personnel.
  • Demonstrate exceptional discretion and integrity as a trusted representative of the Chief Global Product Officer when interacting with executives, employees, customers, external designers, partners, and other stakeholders.
  • Navigate sensitive situations with professionalism, diplomacy, emotional intelligence, and sound judgment.

AI, Technology, and Digital Fluency

  • Demonstrate advanced proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, Word, Excel, SharePoint, and collaborative work-management tools.
  • Effectively use Microsoft Copilot and other enterprise-approved AI tools to improve executive productivity, meeting preparation, information synthesis, communications, workflow efficiency, and knowledge management.
  • Apply AI with appropriate judgment regarding confidentiality, intellectual property, data security, and enterprise governance.
  • Identify opportunities to improve executive-office processes, operating rhythms, and ways of working, including simplifying or automating repetitive administrative tasks.
  • Quickly learn and adopt new technologies relevant to executive support and the Global Product organization.
