General Description / Primary Purpose
The Coordinator Budgets provides budgetary, financial, purchasing, and operational support for Facilities Planning under the direction of department leadership. This position assists with the development, administration, monitoring, and reporting of departmental and project budgets while coordinating purchasing, accounts payable, P-card reconciliation, financial reporting, and related fiscal processes. The Coordinator serves as a key resource to departmental leadership and staff by coordinating financial operations, supporting budget planning activities, producing financial reports, and ensuring compliance with applicable University policies and procedures.
Job Functions
Budget Administration
- Administers departmental operating and capital budgets with general oversight form Assistant Director.
- Advises leadership on budget strategy and internal controls.
- Exercises authority to approve expenditures within established limits.
- Develops financial procedures and internal controls.
- Produce and maintain financial reports utilizing Workday and other financial systems to support operational and budgetary decision-making.
- Independently analyzes financial trends and recommends corrective action.
- Coordinate purchasing and accounts payable activities, including direct purchases, invoice processing, and vendor payments.
- Serve as departmental delegate for P-card holders and coordinate the reconciliation, review, and documentation of transactions.
- Process revenue reimbursements and other financial transactions.
- Assist with preparation of required Board of Governors, University, and departmental financial reports.
- Makes independent determinations regarding financial compliance and fiscal management.
- Perform budget-related duties as back-up to the Assistant Director of Budgets.
- Exercise sound judgment in handling confidential financial and personnel information.
Office Operations
- Maintain position descriptions for new, vacant, and existing positions.
- Coordinate personnel-related documentation and administrative processes within the department.
- Provide administrative support for special projects, departmental initiatives, meetings, and other activities as assigned.
- Serve as a resource to departmental staff, vendors, and University stakeholders regarding budget, purchasing, and financial processes.
- Respond to and resolve inquiries related to financial, purchasing, and operational matters.
- Coordinate communication and information flow among departmental personnel and campus partners.
- Support departmental operations through effective coordination of fiscal and administrative activities.
Supervisory Responsibilities
- Supervise assigned OPS employees and/or student assistants.
- Train, assign, and review work performed by support personnel.
- Monitor completion of assigned work and provide ongoing guidance and support.
Required Qualifications
Master's or Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
