Role Summary

The primary purpose of this role is to support the Facilities Management (FM) team with escorting duties, and free FM staff to focus on maintenance, compliance, and operational work order management responsibilities. The post holder carries out security escort duties as their core day-to-day function, ensuring the safe and compliant movement of contractors, vendors, and visitors within the FCDO estate in accordance with FCDO security policies and local site procedures. Other secondary responsibilities such as reception/telephone cover, general administrative/facilities management support and assistance, complete the role delivery scope, to provide operational and associated support where capacity allows.

Security Escorting — Primary Function

• Escort contractors, vendors, and service providers within controlled and secure areas in accordance with FCDO security procedures.

• Attend site each day ready to receive and escort contractors as scheduled.

• Remain with contractors throughout visits until departure from secure areas.

• Verify contractor identity and escalate discrepancies immediately.

• Brief contractors on site rules and access restrictions.

• Record escort activity including date, duration, contractor details, work order, areas accessed and escorting officer.

• Report contractor non-compliance promptly.

• Assist with scheduling daily escort requirements by updating the Outlook and other booking apps

Reception and Front of House Cover — Secondary Function 

• Act as a professional point of contact for staff, visitors and contractors. 

• Manage visitor sign-in and sign-out processes. 

• Provide switchboard cover and relay messages accurately when required. 

• Assist with meeting room set-up and reinstatement. 

• Maintain confidentiality and security standards. 

Facilities Management Administrative Support — Secondary Function 

• Provide filing, data entry and document management support. 

• Assist with work order administration and Corrigo CAFM updates under FM guidance. 

• Maintain vendor contact lists, security clearance and service records. 

• Support health and safety record keeping. 

Reporting Support — Secondary Function 

• Submit escort activity logs to the FM team. 

• Update operational trackers and dashboards as directed. 

• Assist with ad hoc reporting requirements. 

Candidate Qualifications 

• Experience in customer service, security, concierge or facilities support roles preferred. 

• Strong attention to detail and ability to follow procedures accurately. 

• Excellent interpersonal and communication skills. 

• Professional, reliable and security-conscious approach. 

• Ability to work independently and as part of a team. 

• Proficiency in Microsoft Office and CAFM systems desirable. 

Other Essential Skills 

• At least C1 proficiency in English and Dutch, non-negotiable  

• Technical orientation, able to understand CAT asset maintenance procedures 

• High level of organization and time management 

• Detail-oriented with exceptional accuracy 

• Discretion when handling confidential information 

• Adaptability to changing priorities and workflows 

• Self-motivated with ability to work independently when needed
