ROLE OVERVIEW
We’re hiring a Booking Coordinator to help bring our artists and production properties to new audiences. Our bookings include symphony and orchestra performances, artist concerts, keynotes and other speaking engagements, college and university programs, and book tours. You’ll work under the Booking Manager’s direction and closely with our founder and Operations team, keeping promising conversations moving toward confirmed engagements.
You’ll take ownership of the details that make bookings happen and learn how buyers choose projects, how offers take shape, and how lasting presenter relationships develop.
WHAT SUCCESS LOOKS LIKE
• Opportunities have clear next steps, accurate records, and timely follow-up.
• Proposals and agreements reflect approved terms provided to you by the Booking Manager; revisions, approvals, and signatures move without preventable delays.
• Presenters feel well supported, and you take on greater responsibility as your booking skills develop.
WHO YOU ARE
• You enjoy bringing order to moving parts and following a promising conversation through to completion.
• You ask thoughtful questions, welcome candid feedback, and want to develop as a seller.
• You’re a confident communicator who handles artist relationships and confidential information with discretion.
KEY RESPONSIBILITIES

• Proposals + contracts: Prepare proposals, deal memos, and agreements from approved templates and commercial terms; coordinate revisions, approvals, and signatures.
• Presenter communication: Communicate with presenters and coordinate handoffs to Operations and production partners for engagement details and delivery.
• Records + payments: Keep booking records organized and work with Operations on invoicing, deposits, and payment follow-up.
• Sales development: Join buyer conversations and progressively take on opportunity qualification, pitches, and routine negotiations with guidance and feedback from the Booking Manager.
ROLE REQUIREMENTS
• Relevant experience in booking, live events, talent representation, arts administration, production coordination, or comparable work, typically 1–3 years; equivalent practical experience is welcome.
• Strong writing, accurate document preparation, and reliable follow-through across multiple deadlines.
• Comfort with spreadsheets and contact or project tracking systems, plus an interest in live entertainment and building buyer relationships.
TOOLS YOU WILL USE
Asana, Airtable, Word/Excel, Slack, Dropbox, DocuSign, and booking tools. Experience with comparable systems is welcome.
PLUSES
Helpful experience, but not required:
• Artist or talent management experience.
• Exposure to tour routing, riders, or entertainment usage rights.
• Relationships with presenters, buyers, or brand partners in relevant markets.

• Hours: Initially 15–20 hours per week on an agreed schedule within our Monday–Friday, 10am – 6pm Eastern business hours.
• Growth: Potential to expand to full-time employment and progress into a Booking Manager role as you demonstrate the ability to build buyer relationships, negotiate, and close bookings. Growth depends on performance and business needs.
• Location: Remote from approved U.S. locations or hybrid NYC/LA.
• Flexibility: Occasional evening/weekend work and travel around confirmed engagements may be required.
• Start date: As soon as mutually agreed; reasonable notice periods accommodated.
