We are looking for a Virtual Appointment Verification & Patient Scheduling Coordinator to oversee upcoming schedule confirmations and proactively re-engage patients who are overdue, cancelled, no-showed, or lost to follow-up. As our practice serves an older population, clear, articulate speech and an empathetic phone manner are vital. While this role is heavily focused on persistent outbound outreach, it may expand into handling inbound patient phone coverage and full-service scheduling over time.
Key Responsibilities:
- Appointment Verification: Review upcoming schedules, conduct outbound confirmation calls, process reschedules/cancellations, update records in Epic, document patient touchpoints, and escalate urgent patient concerns to the clinical team.
- Lost-to-Follow-Up Patient Recall: Actively identify, track, and contact overdue, cancelled, and no-show patients lacking follow-up appointments. Execute multi-channel outreach attempts, maintain detailed follow-up lists in Epic, and persist until appointments are secured or records are closed out.
- Patient Support & Future Call Handling: Manage incoming phone lines as needed, schedule and reschedule visits, resolve routine appointment queries, route clinical messages appropriately, and accurately document all interactions within the EMR.
Requirements
Fluency in English.
Hands-on experience with Epic EHR and Cardiology practice workflows.
Direct experience communicating with older patient populations.
Background in patient reactivation, high-volume scheduling, or medical receptionist duties
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour, depending on skill set and experience. The schedule is Monday through Friday, 8:00am-5:00pm M-F
