About the role

The Bid Support Coordinator is responsible for supporting the identification, tracking, distribution, and management of new business opportunities across the UK business, and for the integrity of the systems and records that underpin this.

The role requires strong organisation, attention to detail, good communication skills, confidence engaging with colleagues at all levels, and the ability to manage recurring tasks proactively. This role is responsible for ensuring that opportunities are captured accurately, distributed promptly, monitored consistently, and tracked through to decision, submission, outcome, or closure, and expected to maintain live records, escalate issues promptly, and continuously improve the systems used to manage opportunity information.

Work Environment

All Steer employees seeking a full-time opportunity are encouraged to spend 40% of their time either in office or on-site with clients. An employee’s typical work week consists of 40 hours (Hours, expectations, and exemption status will be adjusted for any applicant seeking a part-time opportunity.)

Compensation

Steer is committed to ensuring that all its employees are compensated a fair, liveable wage. All initial compensation, regardless of location, may be subject to change as skills, abilities, internal equity and geographic location are taken into account.

In addition to base salary, all employees will be eligible for an annual discretionary performance bonus. Please review the benefits section for more information on total reward.

Requirements

Role Purpose

We are seeking an organized, proactive, and results-driven Bid Coordinator to join our Bids Team. In this role, you will take full ownership of opportunity sourcing, portal submission coordination, pipeline and framework management, and key bid reporting. As Steer continues to grow and expand, you will act as a strong central point of contact (POC) between cross-functional teams, clearing operational backlogs and optimizing our bidding processes to help us win more bids.

Key Responsibilities

The successful candidate will enjoy working as part of our team and will be required to:

  • Portal Management & Submission Coordination: Maintain key sourcing portals, monitor alerts, manage user access, and act as the main point of contact for consultants and Project Managers to coordinate and execute timely, compliant proposal submissions.
  • Opportunity Sourcing & Distribution: Monitor external portals, opportunity alerts, and inboxes to triage and distribute relevant opportunities to consultancy colleagues within 24 hours, ensuring full context is provided.
  • Pipeline & Tracker Management: Maintain high data integrity across the Opportunities Tracker, EOI/PIN Tracker, and Pipeline Tracker. Proactively follow up on outcomes, resolve data discrepancies, and drive decision-making on high-value opportunities (>£100k).
  • Framework & Rebate Management: Maintain the company framework tracker, track renewal/rate update cycles, log active projects, and collaborate with Finance to process rebate claims.
  • Logging, Reporting & Administration: Process newly registered proposals and Project Information Documents (PIDs) via Agresso, log proposal outcomes, and prepare accurate weekly IBBM reports for executive review.
  • Process Improvement & Feedback Capture: Capture client feedback post-bid, deliver system training to internal colleagues, explore AI/automation tools to enhance monitoring, and provide team coverage during peak periods.

Key Competencies & Experience

  • Education & Background: A degree in Business, Communications, Marketing, Transport/Infrastructure Planning, or a related field.
  • Organisation & Attention to Detail: Exceptional record-keeping skills with a meticulous approach to maintaining data accuracy across multiple tracking systems, ERPs (e.g., Agresso), and shared drives.
  • Effective Communication: Clear, professional written and verbal communication skills to interface confidently with senior stakeholders, translate technical requirements, deliver training, and share executive reports.
  • Driving Results & Ownership: Highly proactive with a proven ability to manage recurring workflows, prioritize tight deadlines, and follow up relentlessly on outstanding decisions or missing data.
  • Problem-Solving & Initiative: Aptitude for identifying process bottlenecks, investigating root causes of system errors, and proposing practical improvements.
  • Stakeholder Relationships: Ability to build strong, collaborative working relationships across cross-functional consultancy, finance, and business development teams.

Desirable Competencies & Experience

  • End-to-End Bid Lifecycle Expertise: Solid background across the complete bid lifecycle, ideally gained within a smaller or fast-paced organization where wearing multiple hats and solving complex business problems was required.
  • Process Ownership & Results Drive: A strong pusher who proactively follows up on dependencies, clears old backlogs, and establishes robust processes to increase bid win rates as the business expands.
  • Central Coordination & Public Sector Portals: Excellent interpersonal skills to act as a clear POC between teams, alongside prior experience navigating UK/international public sector procurement portals and early market engagement notices (EOIs/PINs).
  • Systems & Automation Interest: Hands-on experience using Agresso (or similar ERP platforms) and an interest in leveraging AI/automation tools to streamline opportunity monitoring and workflow tracking.
  • Geographic & Secondary Language Bonus: Secondary language skills (relevant to Europe, the Americas, or Asia) are a bonus but not essential.
