Assistant Facilities Manager - JLL

What this job involves:

As an Assistant Facilities Manager at JLL, you'll be at the heart of delivering exceptional site operations and vendor management services that keep our clients' facilities running at peak performance. We believe the most effective teams are built when everyone is empowered to thrive, and this role puts you in a position to lead a professional, energetic team while managing critical vendor relationships across janitorial, mechanical, electrical, plumbing, HVAC, and other essential building systems. You'll proactively develop strong client relationships, ensuring service levels consistently meet or exceed expectations while supporting innovative programs that reduce operating costs and increase productivity. This position offers you the opportunity to manage day-to-day operations, support capital planning initiatives, and coordinate with cross-functional teams including fitness, food services, security, and capital projects. You'll play a key role in financial management, helping achieve budget targets while maintaining compliance with all health, safety, and risk management policies.

What your day-to-day will look like:

• Manage site operations in accordance with all agreed policies, procedures, and contract scope while ensuring vendor compliance with contract terms and insurance requirements

• Oversee vendor management for maintenance services including janitorial, mechanical, electrical, plumbing, carpentry, critical systems, and HVAC across your portfolio of sites

• Proactively develop and manage client relationships, delivering exceptional service quality that meets or exceeds key performance indicators as reflected by client feedback

• Assist with annual budgeting and quarterly forecasting processes, prepare monthly spend reports analyzing actual versus budget variances, and manage vendor purchase orders, invoices, and payments

• Lead, develop, and supervise a professional, creative, and detail-oriented team while providing excellent onboarding, training, and team building opportunities

• Coordinate internally with fitness, food services, security, and capital projects teams to support site operations including moves, reconfigurations, events, safety initiatives, and reception services

• Support implementation of short and long-term projects while helping develop and approve annual capital plans for each building in close collaboration with clients

Required qualifications:

• HS diploma or GED

• Minimum 2 years of supervisory experience in facilities management or related field

• Proven ability to manage vendor relationships and ensure compliance with contract requirements and service level agreements

• Strong analytical, organizational, and presentation skills with demonstrated financial acumen

• Proficient in a range of information technology tools and platforms including budgeting and reporting systems

• Excellent client relationship management skills with track record of delivering exceptional service quality

Preferred qualifications:

• Associate's or Bachelor's degree in Facilities, Property, Business, or related field

• Experience managing multi-site facilities operations or corporate real estate portfolios

• Facility Management Professional (FMP) or Certified Facility Manager (CFM) credential

• Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)

• Experience with Computerized Maintenance Management Systems (CMMS) platforms

• Knowledge of health and safety, environment, and risk management compliance requirements

Schedule: Availability to work Monday through Friday, 8:00 AM to 5:00 PM, with flexibility required to support operational needs
