About the Opportunity

Job Summary

Reporting directly to the Dean of the School of Nursing (SON), the Administrative Coordinator provides high-level administrative support to faculty, staff, and students while working independently with minimal supervision. Responsibilities include coordinating meetings and schedules, managing meeting technology, maintaining departmental budgets, overseeing office operations and equipment, processing purchase orders, managing communications, handling departmental correspondence and records, answering department phones, and ordering office supplies. The Administrative Coordinator also supports workshops, conferences, seminars, and other School of Nursing events.

This role performs varied and sometimes complex administrative and operational responsibilities that require initiative, creativity, sound judgment, and strong problem-solving skills. The Administrative Coordinator serves as a key resource for the School of Nursing, providing support to stakeholders and helping resolve issues efficiently.


Key Responsibilities & Accountabilities

Executive Administrative Support (35%)

  • Manage the School of Nursing Dean’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, materials, and minutes and ensure appropriate follow-up on action items.
  • Draft, edit, and coordinate correspondence, reports, presentations, and other documents on behalf of the Dean.
  • Handle confidential and sensitive information with a high degree of discretion and professionalism.

General Administrative Support (20%)

  • Provide administrative and operational support to School of Nursing faculty and students.
  • Organize and schedule meetings and appointments.
  • Track and maintain departmental budgets and related records.
  • Maintain office equipment and coordinate operational support activities.
  • Identify and implement improvements to processes, procedures, and systems within the department.
  • Assist with budget preparation, monitoring, and reconciliation activities.
  • Ensure departmental funds are appropriately utilized and accurately recorded.
  • Provide budget updates and related information to the Dean of the School of Nursing.

Supervision (15%)

  • Supervise work-study students as assigned.
  • Provide guidance, assign tasks, and monitor work quality to ensure departmental standards are met.
  • Mentor and support students in developing skills and successfully completing assignments.

Special Events (10%)

  • Oversee event planning and execution for workshops, conferences, seminars, and other School of Nursing events.
  • Provide leadership and guidance related to event development, communications, budgeting, logistics, and post-event evaluation.
  • Assist with event budget preparation, monitoring, and reconciliation.
  • Ensure event funds are utilized and recorded appropriately.
  • Provide regular updates regarding budget status and event progress.

Special Projects & Assignments (10%)

  • Execute special assignments by assisting with planning, establishing objectives, coordinating activities, and ensuring successful completion.
  • Collaborate with stakeholders to gain cooperation and facilitate project execution.
  • Monitor project progress, resolve issues, and implement necessary adjustments to achieve desired outcomes.

Data Gathering, Analysis & Reporting (10%)

  • Collect, organize, and analyze data from multiple sources to support recordkeeping, reporting, and program management activities.
  • Utilize data insights to provide analysis and recommendations.
  • Identify and resolve issues with applications and systems to improve data accuracy and operational efficiency.

Minimum Qualifications

Required

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 2-4 years of relevant professional experience.
  • Advanced proficiency in creating documents, communications, presentations, spreadsheets, and ad hoc reports.
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience updating online tools and managing special projects.
  • Strong analytical skills and business knowledge with the ability to perform varied and moderately complex work.
  • Demonstrated ability to manage competing priorities, make sound decisions, and work with minimal direction.
  • Strong organizational skills and attention to detail.
  • Excellent customer service, interpersonal, and communication skills.
  • Ability to handle multiple responsibilities simultaneously while maintaining quality and accuracy.
  • Ability to handle sensitive information and maintain a high level of confidentiality.
  • Ability to establish priorities and work both independently and collaboratively as part of a team.
  • Demonstrated initiative, persistence, professionalism, and business acumen.

Expected Hiring Range:

$25.78 - $36.41
