Job Role: Admin & AI Automation VA
Compensation range: $1,500 AUD - $2,000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 7AM - 4PM AEST, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.
Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.
Who The Client Is: We’re an established specialist contractor providing joint sealing and waterproofing solutions across a range of construction sectors. Our experienced team has delivered projects of varying scale and complexity, from major building developments to industrial and civil infrastructure works.
Role Overview: This role provides day-to-day administrative support while also contributing to the development and improvement of the company’s internal systems and processes. It goes beyond traditional administration, offering the opportunity to develop skills in systems management, AI, and business automation.
You’ll work closely with the Senior Admin/Estimator, who will provide training, guidance, and oversee your daily responsibilities. The role will involve working with platforms such as Airtable, Claude, Claude Code, and other business tools to maintain information, develop dashboards, streamline workflows, automate repetitive tasks, and identify ways to improve overall business efficiency.
The recommended schedule is 7:00am–4:00pm AEST, Monday to Friday, but this can be adjusted by agreement. Australian public holidays observed, plus Christmas shutdown.
Key Responsibilities:
- Build and refine internal dashboards and apps using Claude Code and Airtable interfaces
- Set up and maintain Claude and Airtable automations that support our day-to-day workflows and processes.
- Handle builder document requests — SWMS, SDS, insurance certificates, and similar compliance docs
- Complete and send routine forms and standard paperwork
- Daily job scheduling and coordination with site teams
- Maintain and improve our Airtable base — data entry, fixing errors, building tables, forms, and interfaces
- Monitor automations and flag or fix issues before they affect the team
- Create and update SOPs as workflows are built and improved
- Provide estimating support, including quote takeoffs, when additional assistance is required for larger or time-sensitive projects. (Training will be provided; this is not a primary responsibility.)
- General admin support as directed by the Senior Admin
Requirements
Required Skills and Qualifications:
- Strong experience with either AI/automation workflows (particularly using Claude Code) or Airtable, with the ability to quickly learn the other and genuine interest in building tools, dashboards, and automations — not just using them
- Excellent written English and confident, professional email communication
- High attention to detail and accuracy, particularly when handling documentation and data
- Strong organisational and time management skills, with the ability to manage multiple priorities
- Strong problem-solving skills and the ability to identify and resolve issues before they impact the team or workflows
- Ability to work independently, take ownership, and stay organised while working remotely
- Proactive attitude with a willingness to learn new systems, processes, and skills
Nice-to-Haves:
- Experience using Claude Code (strongly preferred)
- 2+ years admin experience in construction or trades (strongly preferred)
- Familiarity with Australian construction paperwork, compliance documents, and terminology
- Experience with Airtable, including building or maintaining tables, forms, interfaces, and automations
- Experience building dashboards, interfaces, or lightweight internal tools/apps (Airtable interfaces, no-code builders, or similar)
- Experience documenting processes (SOPs)
- Experience with Buildxact, or similar construction/business software
