BASIC FUNCTION:

The incumbent coordinates gallery programs supporting the facilitation of daily operations in the Howard University Gallery of Art (HUGA). This position coordinates the collection and exhibition workflow, including developing focused programs and organizing projects in accordance with HUGA’s curatorial, collection, and exhibition requirements. The incumbent works with gallery curatorial and collection staff as well as university administration staff, faculty, and contractors to carry out regular assignments involving program development, procurement, and project coordination. Supports art gallery interpretation of the university collection and exhibition program. This position provides administrative support for gallery curatorial research and exhibition development reports to the executive director.

SUPERVISORY ACCOUNTABILITY:

Responsible for orienting staff, students, artists, and contractors with operational tasks. May also be responsible for performing related technical tasks and reporting to a higher level on a formal basis.

NATURE AND SCOPE:

Internal contacts include administrators, faculty, students, and staff of the College of Fine Arts departments and the University at large. External contacts include consultants, vendors, representatives from other colleges and universities, visitors, and the general public.

PRINCIPAL ACCOUNTABILITIES:

Perform directives from leadership in the coordination of administrative procedures/policies within the Gallery of Art and/or serve as the liaison for events and programming with fine arts and other university departments.

Supports all procurement actions relating to, but not limited to, programs that include requests for travel authorizations, contractor services (work for hire), student workers, goods requisition, and grants coordination. Works with the HUGA Executive Director to reconcile program expenditures for departmental budgets and accounting records.

Works as interdisciplinary administrative coordinator for revolving gallery programs such as collection and exhibition initiatives, in addition to supporting symposiums, conferences, and colloquia such as James A. Porter Art Colloquium and Fine Arts Festival, etc.

Oversees the scheduling of appointments, meetings, and conferences.

Coordinates logistics of all events and meetings, including travel and lodging arrangements, agendas, information packets, parking, amenities, etc., and provides on-site guidance to visitors and guests for university-related events.

Serves as the point of contact for vendors/contractors and supports the procurement process for the departmental unit in coordinating ongoing projects.

Responsible for maintaining the overall office gallery constituent database. 

Performs research and other related duties as assigned.

Oversees student work-study and internship program.

CORE COMPETENCIES:                     

Advanced knowledge of art education and program management.

  • Solid writing skills, documentation skills, event production, organizational, and communication skills.
  • Prior experience working in and/or with community-based arts organizations.
  • Understanding of administrative practices and operational principles for coordinating projects. Proficient in computers and related software applications (Microsoft Office Suite), specifically in Excel spreadsheet reporting.
  • Ability to problem-solve and make decisions while exercising discretion to ensure a high level of confidentiality.
  • Ability to communicate effectively orally and in writing with a diverse population.

MINIMUM REQUIREMENTS:

Minimum of 2 years of work experience or relevant experience (e.g., administrative and development experience). Bachelor’s degree in arts administration/management, developmental studies, or related fields;
