Overview
We are seeking a dynamic and detail-oriented Program Coordinator to support initiatives that drive our enterprise's growth and scalability. The ideal candidate will adeptly manage content across multiple systems, engage with diverse organizational roles, and adapt to evolving business needs. This role involves close collaboration with the Program Manager, Scalability and various key stakeholders, focusing on content quality, training delivery, and system administration. Immediate responsibilities include administering our enterprise knowledge management platform, process documentation software, and generative AI tools, and supporting project management task tracking, with opportunities for growth in other initiatives.
This is a strategic role that blends content management, writing, training delivery, and technical system administration. The Coordinator executes the day-to-day work that keeps Nox Group's knowledge base accurate, current, and easy to use — while working closely with the Program Manager to guide the documentation of enterprise standards, content workflows, and internal/external relationships. Candidates who are strong writers, naturally curious, and comfortable with AI tools will find significant room to grow here. No construction industry background is required.
Responsibilities
- Cross-Functional Collaboration: Serve as a responsive, dependable partner across all Nox Group companies when creating or maintaining knowledge base content, communicate proactively when timelines are at risk, and build a professional reputation that makes other teams want to work with our team.
- Content Management: Manage the knowledge base publishing queue and follow up on drafts that have stalled; copyedit and refine drafts at every stage of completion; edit or draft content on behalf of content owners across a range of topics; and add translations to content requiring broad accessibility (bilingual fluency not required).
- Training & Enablement: Design and deliver 1:1 and department-level training on our knowledge management platform and process documentation software, including onboarding for new users and keeping experienced users current as tools and practices evolve.
- AI-Powered Knowledge Support: Assign and train employees across the company who respond to unanswered questions surfaced through our AI knowledge assistant, review answer quality and report on unresolved items, and keep stakeholders informed of information gaps as they surface.
- Systems Administration — Knowledge Management: Coordinate new-user ramp-up and manage access to the knowledge management platform, perform routine system health checks and cleanup, partner with IT on permissions and access audits, administer custom roles, help promote adoption of new features, and organize and maintain the knowledge library and our process documentation software.
- Systems Administration — Project Management & AI Tools: Create and track projects for the team and maintain your own task list using our project management software; build and maintain AI tool configurations — assistants, prompt libraries, and integrations — that support the team's work.
- Reporting & Analytics: Run and distribute standard and custom reports as needed, covering search behavior, adoption and engagement, and overall platform impact, and review content quality and health metrics at the collection level to help assess the overall health of the knowledge base.
- Vendor Coordination and Software Improvements: Report and track platform bugs, support information gathering and maintenance of the product feature request list, and attend monthly vendor meetings; advocate for our user base and participate in discussion within the vendor's user community.
Qualifications
- Excellent verbal and written communication skills, with the judgment to know when a draft is ready and the confidence to improve one that isn't.
- Strong interpersonal and customer service abilities.
- Naturally inquisitive: a fast, thorough notetaker who can guide subject-matter experts through process development towards a usable outcome and build consensus without formal authority.
- Competent user of generative AI tools — understands prompting fundamentals, can explain core AI concepts, and is comfortable exploring AI-powered tools.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple simultaneous projects without losing track of any of them.
- Proven time management skills with the ability to meet deadlines consistently.
- Robust analytical and problem-solving capabilities.
- Consistent and persistent: must be willing to fully own triage and rapid response to employee questions submitted through our knowledge platform.
- Ability to be flexible while working in a still-evolving space, with the judgment to know when to flag something upward rather than solve it alone.
- Ability to handle sensitive information with discretion.
- Capacity to thrive in a fast-paced and occasionally high-pressure environment.
- Proficiency with AI, knowledge management, project management, and process documentation platforms, or the ability to learn related software quickly.
- No construction industry background required.
Education & Certifications
- BA/BS degree in a relevant field preferred but not required.
