We are looking for a Home-Based Production Coordinator to join a growing U.S.-based company in the promotional products and branded apparel industry. In this role, you will oversee day-to-day purchasing, production, and operations, ensuring every order moves smoothly from purchase order through proofing, production, and delivery. You will monitor and track orders against delivery schedules, coordinate with suppliers and vendors, keep client and vendor records accurate, and provide excellent customer service to both internal teams and external customers.

REQUIRED CORE COMPETENCIES 

• Organizational & Time Management – Effectively manages multiple orders and tasks while meeting strict production and delivery deadlines.
• Attention to Detail – Maintains a high level of accuracy in purchase orders, artwork files, order documentation, and client and vendor databases.
• Communication Skills – Communicates clearly and professionally in spoken and written English with clients, suppliers, vendors, and internal teams.
• Problem Solving & Analysis – Identifies order, shipping, and production discrepancies early and resolves them efficiently.
• Customer Service & Teamwork – Delivers timely, helpful support to internal and external customers and works well as part of a team.

WHAT YOU WILL DO 

• Monitor orders and the documentation of order confirmations and vendor emails.
• Ensure that POs are accurate and that they are issued to suppliers with the correct client artwork files.
• Assist in contacting suppliers and vendors to receive order status, proof, and tracking information for in-house orders.
• Contact vendors for inventory checks, pricing, freight quotes, and lead times.
• Communicate with clients using email templates for order updates and logistics.
• Provide timely support, research, and feedback on the progress of orders, changes, and customer or vendor inquiries.
• Coordinate shipping and freight arrangements, providing customers with shipment tracking numbers and monitoring shipping reports to ensure all projects are on schedule for on-time delivery.
• Maintaining accurate and up-to-date client and vendor files and databases.
• Ad hoc tasks aligned with those mentioned above.

WHAT WE LOOK FOR 

• Education: Bachelor's degree in Marketing, Communications, Business Administration, or any related field.
• Experience: 1–2 years of experience in a promotional products, customer service, or order management role.
• Language Proficiency: Strong verbal and written English communication skills.  
• Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours. 
• Technical Skills:
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Proficient in Google Workspace (Gmail, Sheets, Docs, Drive).
  • Basic exposure to Adobe Illustrator, Adobe Photoshop, and Canva is ideal.
  • Ability and willingness to learn industry-specific software.
  • Direct promotional products experience or comparable e-commerce experience is beneficial but not required.
  • Experience with promotional products, including item research, ordering, and follow-up, is an advantage.
  • Ability to prioritize and manage multiple projects under tight deadlines.

WHAT WE OFFER

• Salary Range: PHP 45,000 - 48,000   
• Industry: Promotional Products (Branded Apparel, Embroidery & Screen Printing)
• Job Type: Full-time 
• Work Shift: 8:00 AM - 5:00 PM EST (USA) 
• Workdays: Monday through Friday (USA)
