Salary: £25,877.80 - £28,453.69 per annum (pro rata)

About the Role

We are looking for an organised and reliable Administrator to join our Surrey IPS Employment Services team, based at Bradmere House in Leatherhead.

You will provide high-quality administrative support to the service, helping to ensure referrals, client information and day-to-day administration are processed accurately, efficiently and within required timescales.

A key part of the role will be receiving and managing incoming referrals, completing initial administrative triage and accurately recording information on SystmOne. You will also provide general administrative support to Bradmere House, including responding to telephone enquiries, processing invoices through Workday, maintaining accurate records and helping the service run smoothly.

The role is 22.5 hours per week, Wednesday to Friday, and full training will be provided on SystmOne, Workday and other relevant organisational systems.

What you'll do

  • Act as a first point of contact for Surrey IPS Employment Services, responding professionally to telephone calls, emails, referrals and general enquiries.
  • Receive and process incoming referrals, checking information is complete and identifying where further information is required.
  • Undertake initial administrative triage in line with referral pathways, eligibility criteria and agreed procedures.
  • Accurately input referral and client information into SystmOne and maintain high-quality, up-to-date records.
  • Allocate and forward referrals to the appropriate team member in line with agreed processes.
  • Monitor referral workflows and administrative tasks to ensure referrals are progressed promptly.
  • Identify and correct administrative errors and maintain high standards of data quality.
  • Provide administrative support to colleagues with SystmOne and other service processes following appropriate training.
  • Answer telephone calls to Bradmere House, take accurate messages and direct callers to the appropriate person or service.
  • Welcome people contacting the service and provide appropriate information, direction or signposting.

What we're looking for

  • Excellent organisational and administrative skills, with the ability to manage a varied workload and meet deadlines.
  • Strong attention to detail and a commitment to maintaining accurate records and high-quality data.
  • Good IT skills and confidence using computerised systems, with the ability to learn new systems such as SystmOne and Workday.
  • Clear and professional communication skills, both verbally and in writing.
  • A friendly, approachable and professional manner when dealing with service users, colleagues, professionals and members of the public.
  • The ability to handle confidential and sensitive information appropriately and in line with information governance requirements.
  • Good problem-solving skills and the ability to identify when information is incomplete or requires further clarification.
  • The ability to work independently while also contributing positively as part of a wider team.
  • A flexible and proactive approach, with the ability to respond to changing priorities.
  • An understanding of the importance of quality standards, policies, procedures and accurate record keeping.
  • A commitment to continuing professional development and willingness to undertake relevant training.
  • A commitment to Waythrough's values of being kind, courageous and respectful.
  • An understanding of, or willingness to learn about, the needs of people accessing mental health, employment, housing, drug and alcohol and related support services.
