We are seeking an energetic, highly persuasive, and articulate Virtual Sales & Lead Follow-Up Specialist to serve as the primary sales representative and appointment scheduler for our medical practice. In this key growth-driven position, your core mission is to convert patient leads and inquiries into booked appointments, taking the sales and scheduling burden entirely off the provider.

The ideal candidate possesses a proven background in sales and lead conversion, a goal-oriented mindset, and experience working under commission or percentage-based quotas. You will manage a pipeline of active inquiries (including follow-ups on promotional offers like "1 Month Free"), utilize modern AI productivity tools like Claude, ChatGPT, and DearDoc to draft compelling communications, and seamlessly manage schedules within Practice Fusion EHR.

Working Environment & Core Schedule

• Role Title: Virtual Sales & Lead Follow-Up Specialist
• Status: Full-Time (32–40 Hours / Week – 4-Day Work Week)
• Schedule: Monday – Thursday, 8 Hours / Day (Subject to minor adjustment based on practice volume)
• Core Systems: Practice Fusion EHR, AI Productivity Tools (Claude, ChatGPT), Patient Engagement Platform (DearDoc), VoIP Phone System
• Primary Scope: Outbound Lead Conversion, Appointment Scheduling, Pipeline Management, and Quota Achievement

Top 3 Daily Tasks

1. Outbound Lead Follow-Up & Conversion: Actively call, text, and email incoming patient leads and inquiries to pitch practice services, answer questions, and convert prospects into scheduled patients.
2. Appointment Scheduling: Manage provider calendars within Practice Fusion EHR, ensuring seamless appointment booking and maximizing schedule utilization.
3. Pipeline Tracking & Quota Execution: Track lead status, manage follow-up cadences for active promotional campaigns, and hit defined conversion goals and monthly booking percentages.

Core Responsibilities

• Lead Nurturing & Outreach: Contact new leads and past inquiries rapidly across phone, SMS, and email; overcome patient hesitations and highlight promotional offers (such as "1 Month Free" trial campaigns).
• AI-Assisted Patient Communication: Utilize AI tools (Claude, ChatGPT) and patient platforms (DearDoc) to quickly draft customized, highly polished, and persuasive follow-up messages and email sequences.
• Practice Fusion Scheduling: Navigate Practice Fusion EHR to verify calendar availability, register patient details, and book initial consultation appointments.
• Target & Quota Achievement: Consistently meet or exceed performance metrics, including lead-to-appointment conversion percentages and target daily touchpoints.
• CRM & Record Maintenance: Keep accurate notes on every lead interaction, update pipeline statuses, and ensure no lead drops through the cracks.

Requirements

• Sales & Lead Conversion Experience: Proven track record in phone sales, appointment setting, lead nurturing, or phone-based customer acquisition.
• Quota & Goal Orientation: Experience working toward performance quotas, booking targets, or percentage-based growth goals.
• Elite English Communication: Flawless spoken and written English skills with a persuasive, confident, and professional phone presence.
• Tech-Savvy & AI Literate: Hands-on experience or familiarity using generative AI tools (ChatGPT, Claude) and patient engagement platforms like DearDoc to draft communications and streamline workflows.
• EHR/EMR Experience: Working knowledge of medical EHR scheduling systems (Practice Fusion experience is a plus).
• Schedule Availability: Full availability to work 4 days per week (Monday through Thursday, 8 hours per day).
• Remote Workspace Setup: Dedicated, quiet home office with a high-performance computer (PC/Mac), high-speed internet, backup power/internet solutions, and a noise-canceling headset.

Preferred Qualifications

• Hands-on experience with Practice Fusion EHR.
• Prior experience in healthcare sales, elective medical procedure sales, or concierge/membership medical practice growth.
