The program
Assistance and Advisory Service (AAS)
The NATO Communications and Information Agency (NCI Agency) is NATO’s principal C3 capability deliverer and CIS service provider. It provides, maintains and defends the NATO enterprise-wide information technology infrastructure to enable Allies to consult together under Article IV, and, when required, stand together in the face of attack under Article V.
To provide these critical services, in the modern evolving dynamic environment the NCI Agency needs to build and maintain high performance-engaged workforce. The NCI Agency workforce strategically consists of three major categorise's: NATO International Civilians (NIC)'s, Military (Mil), and Interim Workforce Consultants (IWC)'s. The IWCs are a critical part of the overall NCI Agency workforce and make up approximately 15 percent of the total workforce.
SharePoint & Knowledge Management Specialist

Role Background
NCIA requires a SharePoint & Knowledge Management Specialist to support the ASO SharePoint environment in Brussels, covering both Protective Security and CIS Security requirements.
The project focuses on assessing the existing SharePoint environment, redesigning and improving it, introducing automation and secure access controls, and completing documentation and knowledge transfer.
Role Duties and Responsibilities
- Review the existing SharePoint structure, permissions and usage.
- Identify gaps, inefficiencies and improvement opportunities.
- Gather and review ASO requirements.
- Redesign SharePoint pages to improve standardisation, usability and user experience.
- Apply current Information Knowledge Management (IKM) best practices.
- Improve navigation, document libraries, metadata and content organisation.
- Identify processes and workflows suitable for automation.
- Implement automated SharePoint workflows and processes.
- Review and implement role-based access controls and permission structures.
- Produce technical and functional documentation for handover.
- Present the final solution to the ASO Steering Committee.
Essential Skills
- Strong experience with SharePoint environments.
- Experience improving UX/UI within SharePoint.
- Experience implementing secure SharePoint environments, particularly for security-sensitive or regulated organisations.
- SharePoint permissions and role-based access control.
- SharePoint workflow/process automation.
- Document libraries, metadata and content organisation.
- Information/Knowledge Management principles and practices.
- Strong written English.
- Ability to present and brief technical work in English to a diverse audience.
Experience
The role requires demonstrated and proven experience with SharePoint, SharePoint UX/UI improvements and secure SharePoint environments.

- Total scope: 234.8 hours
- Equivalent NATO Grade: G12
- Security Clearance: NATO Secret
- Contractor reports to NCIA ASO.
- The contractor will work closely with ASO IKM Officers.
- Steering Committee meetings are planned at the beginning and end of the project.

- Some travel to other NATO sites may be required
