A Day in the Life

As part of Global Facilities & Securities, Global Facilities is responsible for all the Medtronic property portfolio spanning from commercial asset (Corporate offices and Sales offices) and non-commercial assets e.g. (Manufacturing plants, Technical Service Centers, R&D laboratories), by partnering with our peers spanning from Facilities Management, Workplace Services, Real Estate, Design, Workplace Strategies, Capital Project Delivery, Environmental Health & Safety, Crisis Management and Business Continuity.

A seasoned Facilities Specialist, based out of our Seoul, South Korea office at Glass Tower, will manage a team of outsourced vendors, and as the Korea Facilities leader, covering offices, Research & Development and service center in Korea. He/She will be the business partner to the stakeholders to understand their business model, occupancy space needs and to promote employee workplace experience through digitalization and innovation services.

This role will also act as the Physical Security lead and be the Single Point of Contact between Global Security and the business. In addition, this role will play an active role in the Crisis Management team, led by the local Leadership and EHS.

The Senior Facilities Admin Specialist will report directly to Japan and Korea Sr. Facilities Manager based out of Japan and is a key member of the Korea Facilities team. Together, the team will develop and drive facilities/office policies consistency, stakeholder engagement, financial accountability and vendor management.

Primary Responsibilities:

FACILITIES MANAGEMENT (70%)

• Translate and implement strategic Medtronic Facility Operations & Real Estate objectives, assure timely follow up, reporting and completion.

• Own and manage the delivery of workplace services (additions & alterations, soft & hard services, space management);

• Develop and manage facilities operating expenses budget, forecasting, variance reporting and accrual management.

• Regularize vendors contracts and ensure compliance to Medtronic Global policies;

• Explore and implement efficient ways to improve facilities services through’ digitalization.

• Collaborate with vendors to drive and achieve cost efficiency through’ partnerships;

• Develop and maintain regional procedures related to, for example, office policies, physical security, technical building requirements and facility services. These regional policies should reference across the global Medtronic policies;

• Ensure alignment of Facilities Operations & RE strategy with the Manufacturing and Sales Strategies for the region.

• Work with and manage the relationships with external suppliers of facility services such as cleaning, physical security, waste management, catering, building & equipment maintenance etc;

• Ensure compliance with standard Medtronic Corporate policies, procedures, quality standards, Code of Conduct and household rules. Apply EHSS (Environment, Health, Safety, Security) rules and regulations, in collaboration with Korea EHS.

• Manage workplace services and facilities-related employee support programs, including employee housing, corporate vehicles, parking administration, and workplace amenities.

CAPITAL PROJECT MANAGEMENT (20%)

• Active participation thru collaboration with Global Facilities Construction PMO, Real Estate and Design team on regional capital projects from inception, design development, vendors selection, construction delivery to project closure;

• Active participation in the tendering/bidding process, in collaboration with Indirect Sourcing to ensure the appropriate vendors/suppliers are procured;

• Be the Facilities site lead to ensure all the project close out documents were handled over duly upon project completion in order to develop the facilities maintenance schedule and budget;

• Collaborate with APAC Facilities team in the development the Facilities Capital Strategy Plan (medium to long term), in engagement with the business

TRANSACTION MANAGEMENT (10%)

• Be the point of contact for Global Real Estate and its Real Estate brokers in site inspection, selection and collaborate in making informed decision with the stakeholders;

• Support the administrative process in lease sign by facilitating amongst Legal, Finance and key stakeholders

Required Qualifications

• Bachelor's degree and a minimum of 7 years of experience in facilities management, corporate real estate, business operations, workplace services, or project management. 

• Experience managing facilities operations, workplace services, and vendor or supplier relationships.

• Experience managing budgets, forecasting, financial reporting, and operational expenditures.

• Experience leading cross-functional projects involving multiple stakeholders and external partners.

• Professional proficiency in English with strong written, presentation, and stakeholder communication skills. 

Preferred Qualifications

• Experience supporting all stages of the real estate lifecycle, including transaction management, capital projects, and facilities operations.

• Experience with workplace strategy, organisational change, and move management initiatives. 

• Knowledge of procurement, tendering, and supplier selection processes. 

• Certifications such as Project Management Professional (PMP), Certified Facility Manager (CFM), International Facility Management Association (IFMA), or CoreNet Global credentials.

• Experience using Microsoft PowerPoint, Excel, Power BI, and interpreting architectural, mechanical, electrical, or plumbing drawings.
