Position Overview
Spartan Title, New Western’s in-house title and escrow subsidiary, is seeking an experienced Senior Escrow Accountant to own the accounting, reconciliation, and financial reporting for our escrow trust accounts. This is a detail-critical, individual-contributor role responsible for making sure escrow funds are accurately tracked, reconciled, and disbursed in full compliance with state trust fund regulations — across a multi-state footprint that is actively expanding. Based out of our Plano-area office in a hybrid capacity, you will bring seasoned escrow/title accounting expertise to a fast-growing, national operation.

About Spartan Title
Spartan Title is New Western’s national title and escrow subsidiary, currently operating primarily in Texas, Colorado, and Tennessee, and actively expanding into new markets, giving this role real ownership over how our escrow accounting function scales across states.
Key Responsibilities
Escrow Accounting & Reconciliation
- Record and reconcile escrow transactions including deposits, disbursements, fees, refunds, and transfers across all active escrow files.
- Perform monthly three-way reconciliations in accordance with ALTA Best Practices and applicable state trust fund requirements.
- Complete bank reconciliations, comparing accounting records to bank statements and investigating discrepancies, unidentified deposits, and stale or aged items.
- Manage escrow accounts to ensure funds are held and distributed strictly in accordance with closing instructions, purchase agreements, and lender requirements.
- Remit title insurance premiums to underwriters and reconcile policy reports to escrow disbursements.
- Support underwriter escrow audits and agency reviews, distinct from state regulatory exams and the year-end financial statement audit.
- Record title premium and escrow fee revenue accurately, including agent versus underwriter splits.
- Verify payments and disbursements are properly authorized and documented before funds are released.
- Partner with escrow officers, title and real estate professionals, lenders, attorneys, vendors, and internal departments to research and resolve accounting discrepancies.
- Support wire and ACH disbursement controls, including positive pay and fraud-prevention protocols.
- Maintain accurate records and supporting documentation to meet state regulatory and audit requirements across all operating states.
- Prepare escrow trial balance, account balance, and transaction reports.
- Support internal and external audits, state regulatory exams, and the year-end financial statement audit; including preparing PBC schedules, transaction histories, reconciliations, and supporting documentation, and responding to auditor requests in a timely manner.
- Monitor state-specific escrow/trust fund regulations and flag jurisdictional differences as Spartan Title expands into new markets.
- Support escheatment and unclaimed-property processes for aged or unresolved escrow balances.
- Prepare and post month-end journal entries for escrow-related activity in accordance with the close calendar.
- Ensure Spartan Title's escrow and operating GL accounts are reconciled to subledger/bank support prior to close as part of the close calendar, and clear aged reconciling items timely.
- Ensure Spartan Title's trial balance rolls up accurately into New Western's consolidated financials.
- Support the monthly close checklist: accruals, prepaid amortization, and account analysis for escrow-related balance sheet accounts.
- Partner with the corporate accounting team to ensure GAAP consistency.
- Provide supporting schedules and variance explanations for escrow-related line items during the consolidated close review.
- Assist in identifying and correcting any escrow accounting entries that could misstate consolidated cash, revenue, or liability balances.

Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- 5+ years of escrow, trust, title, or banking accounting experience; national or multi-state title company experience strongly preferred.
- Working knowledge of escrow/trust accounting regulations and ALTA Best Practices, including three-way reconciliation methodology.
- Proficiency with digital closing, title, and escrow software platforms such as Qualia.
- Solid understanding of debits/credits and general ledger accounting; experience with NetSuite or another major ERPs.
- Advanced Excel skills and comfort working with high transaction volumes.
- Exceptional attention to detail and accuracy, with strong ability to independently research and resolve discrepancies.
- Strong written and verbal communication skills, with the confidentiality and judgment required when handling client funds.
- Comfortable managing varying state jurisdictional requirements as the company expands into new markets.
