Project AdministratorAbout the Role
We are seeking a proactive and detail-oriented Project Administrator to support a busy project team. In this role, you will provide essential administrative and project support, helping to keep project documentation, communications, meetings, and office operations running smoothly. Working closely with project staff, you will gain exposure to a variety of project activities while building your skills in project administration, document control, and stakeholder coordination.
Responsibilities:
- Provide day-to-day administrative support to the project team.
- Prepare, format, proofread, and distribute documents and reports.
- Maintain project, business, and bid files, ensuring records are accurate and up to date.
- Assist with document control activities, filing systems, and audit trail requirements.
- Coordinate meetings, prepare agendas, take minutes, and assist with project events.
- Support procurement and purchasing activities, including contract documentation and invoice processing.
- Manage incoming and outgoing correspondence.
- Assist with travel bookings, diary management, and schedule coordination.
- Handle general office administration including printing, binding, archiving, and stationery orders.
- Collaborate with administrators and project stakeholders to ensure smooth project operations and task coverage.
Who are you?
We're looking for a highly organised and detail-oriented administrator who enjoys working in a team environment and supporting the successful delivery of projects. You'll be proactive, professional, and able to build strong working relationships with a range of stakeholders while managing competing priorities.
- Previous experience in an administration, project support, or coordination role.
- Strong Microsoft Office skills, particularly Word, Excel and Outlook
- Excellent attention to detail and a high level of accuracy.
- Strong organisational and time management skills.
- Ability to coordinate meetings, travel, and project-related activities.
- Exposure to document management systems or procurement processes is advantageous.
- Professional written and verbal communication skills.
- Business Administration qualifications are desirable but not essential.
