Are you an experienced Controller or Finance Director looking for meaningful, flexible work? A respected, mission-driven 501(c)(3) nonprofit in the Los Angeles area is looking for a part-time Finance Director. You would take over from a long-serving incumbent who is retiring at the end of the year.
This is a hands-on role for a finance leader who enjoys owning the whole cycle: day-to-day transactions, month-end close, budgeting, audit and Board reporting. You will be a trusted adviser to the Executive Director and work closely with the Finance Committee, the Board, the investment advisers and the external auditors. The team is small, collaborative and close-knit, and values connection, wellness, respect and impact.
Key Responsibilities
Weekly and bi-monthly operations
- Record deposits (checks, credit cards, ACH), and enter and pay bills
- Prepare invoices as needed
- Process bi-monthly payroll from timesheets
- Meet regularly with the Executive Director to advise on financial matters
Monthly close and reporting
- Run the month-end close checklist: bank and investment reconciliations, journal entries, and accruals (payroll, vacation, grants), plus prepaids, receivables, refundable advances and restricted net assets
- Reconcile corporate credit cards, review accounts payable, and manage fixed asset and depreciation schedules
- Prepare monthly financial statements and the monthly finance packet
- Review actual-to-budget variances and update the cash flow forecast
Governance
- Present financial reports to the Finance Committee and prepare its minutes
- Prepare Board reports and attend Board meetings
- Work with the Investment Committee and the Investment Manager
- Review contracts on request, and maintain and update the internal controls policy manual
Annual cycle
- January: 1099 filings and the workers' compensation audit
- February: annual forecast, 403(b) employer contribution, and employee health contribution calculations
- March: annual budget and annual cash flow
- Year-end: close the books with year-end adjustments, prepare audit schedules, liaise with the auditors and review the audited financial statements
- Review and submit Form 990, and coordinate the Form 5500 submission and 403(b) notifications with the plan provider
Schedule and hours
- Average of 10 to 12 hours per week, driven by workload. Hours vary with the financial calendar some weeks may need around 12 hours, while a quieter week might need less.
- Sole responsibility begins in January.
- Transition period: you will work a maximum of 5 to 10 hours in total across November and December combined, not per week or per month. These hours overlap with the current Finance Director to start your onboarding and help you get familiar with the role. No other hours will be worked during November and December.
Requirements
- Previous experience as a Controller or Finance Director
- Hands-on, end-to-end accounting experience: AP, deposits, invoicing, payroll, month-end close, reconciliations, journal entries, accruals and financial statement preparation
- Experience with budgeting, cash flow forecasting and variance analysis
- Experience preparing audit schedules and working with external auditors
- Working knowledge of Form 990 and Form 5500 filings, 403(b) plan administration and workers' compensation audits
- Confidence presenting financial information to committees and Boards
- Strong understanding of internal controls
- Able to work independently and manage a variable, deadline-driven workload in a small team
Preferred Qualifications
- CPA (preferred, not required)
- Nonprofit or 501(c)(3) finance experience, including fund accounting, grants and restricted net assets
- Based in the Los Angeles area
- Experience working with investment committees or investment managers
Benefits
- Pay: $100 per hour
- Estimated annual earnings: about $52,000 to $62,000, based on an average of 10 to 12 hours per week (pay depends on actual hours worked)
