ROLE OVERVIEW:
The Mortgage Broker Assistant & Loan Processor will serve as the primary administrative partner and operational backbone to a top-performing Mortgage Broker. In this high-impact position, you will own the end-to-end loan lifecycle—managing complete application packaging, active pipeline tracking, and broker inbox triage. This role requires an operations specialist who thrives in high-volume environments, maintains flawless precision under tight settlement deadlines, and delivers clear communication across clients, lenders, and key stakeholders.
RESPONSIBILITIES:
Loan Packaging & Submissions: Collect and audit client compliance documentation (payslips, tax returns, bank statements, identification); execute initial serviceability assessments; accurately input data into aggregator CRMs; and submit complete application files via ApplyOnline.
Pipeline Management: Monitor and drive loan applications from lodgement through to unconditional approval and final settlement; proactively clear Lender More Information Required (MIR) requests/conditions; order property valuations; and resolve processing bottlenecks.
Inbox & Executive Support: Manage and triage the broker's primary email inbox; draft clear, professional client updates; execute routine home loan reviews; and maintain client relationships through automated and high-touch milestone updates.
Stakeholder Coordination: Serve as the central point of contact between clients, lender credit assessors, solicitors, and real estate agents to ensure seamless file progression.
Requirements
- Industry Experience: Minimum of 2+ years of direct experience in Australian mortgage processing or broker support operations.
- Platform Expertise: Hands-on proficiency with ApplyOnline and leading Australian aggregator CRMs (e.g., Salestrekker, MyCRM, Mercury, or Flex).
- Regulatory & Credit Knowledge: Firm grasp of Australian lender checklists, serviceability metrics, desk-side credit policies, and NCCP guidelines.
- Communication: Exceptional written and verbal English communication skills, with demonstrated ability to manage client inbox delegation and push lender escalations effectively.
Preferred
- Prior experience directly supporting a high-volume broker ($40M+ annual loan volume).
- Formal qualifications in Financial Services (e.g., Certificate IV or Diploma in Finance and Mortgage Broking).
- Proven track record of successfully managing complex self-employed, commercial, or multi-property investor portfolios.
