The HR Compliance Analyst is responsible for supporting the organization’s HR compliance program and ensuring that HR policies, records, processes, and system data meet applicable legal, regulatory, and company requirements. 

This position serves as a compliance-focused resource within Human Resources and works closely with the HRIS Analyst, Payroll, Benefits, Legal, Information Technology, and Operations teams. The role is responsible for monitoring HR compliance requirements, conducting audits, maintaining required documentation, tracking corrective actions, supporting regulatory reporting, and ensuring that compliance-related data within the Human Resources Information System (HRIS) is complete and accurate. 

Requirements

• The HR Compliance Analyst will monitor federal, state, and local employment requirements and support updates to HR policies, procedures, documentation, and practices. 

• Maintain the HR compliance calendar, including required filings, notices, audits, certifications, policy reviews, training requirements, and recurring deadlines. 

• The HR Compliance Analyst will conduct routine audits of employee records, HRIS data, personnel files, policy acknowledgments, and compliance documentation to identify gaps, inaccuracies, or missing information. 

• Maintain organized, accurate, and audit-ready HR records in accordance with legal, regulatory, and company retention requirements. 

• Support internal and external audits, regulatory inquiries, and legal requests by compiling documentation, validating records, responding to information requests, and tracking corrective actions. 

• The HR Compliance Analyst will use HRIS data, reports, and dashboards to monitor compliance requirements, validate information used for regulatory reporting, and track key compliance metrics. 

• Partner with the HRIS Analyst to identify compliance-related reporting, workflow, system access, and data requirements, and participate in testing changes that impact compliance. 

• Support the development, review, and maintenance of HR policies, procedures, work instructions, compliance controls, and related documentation. 

• Coordinate required labor law postings, employee notices, policy acknowledgments, certifications, and compliance training. 

• Identify compliance risks, recommend corrective actions, and support continuous improvement initiatives related to HR governance, documentation, data integrity, and process controls. 

• Partner with Payroll, Benefits, Talent Acquisition, Operations, Legal, Information Technology, and HR leadership on compliance-related initiatives and requirements. 

• Provide guidance to HR team members and business partners on compliance processes, documentation standards, recordkeeping requirements, and established HR procedures. 

• Maintain confidentiality and exercise sound judgment when handling sensitive employee and company information. 

Education Requirements: 

• Bachelor’s degree in Human Resources, Business Administration, Legal Studies, Information Systems, or a related field preferred. 

Field Experience: 

• At least seven years in the Human Resources field or related field 

Position Experience: 

• At least seven years of experience in Human Resources, HR compliance, HR operations, HRIS, or a related field. 

Other Qualifications: 

• Excellent communication (spoken, written, and presentation) skills  

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) 

• Working knowledge of federal and state employment regulations. 

• Experience with an HRIS platform required; UKG experience a plus. 

• Experience with HR reporting, record audits, or compliance tracking preferred. 

• PHR, SHRM-CP, or other HR certifications preferred but not required.
