Job Description Summary

The Facilities Sustainable Capital Project Manager serves as a client-facing C&W lead responsible for advancing customers Facility Sustaining Capital program through disciplined project governance, transparent reporting, proactive stakeholder alignment, and sustainability-minded capital planning. This role partners with the customer, C&W IFM, Technical Services, SPO, P&P, Finance, Procurement, EHS, and site teams to identify, approve, deliver, and close sustaining capital projects that improve asset reliability, operational continuity, safety, compliance, cost performance, and long-term environmental value.

Job Description

Primary Responsibilities

  • Lead C&W’s day-to-day coordination of Facility Sustaining Capital projects across intake, validation, planning, procurement, execution, commissioning, closeout, and operational handoff.
  • Partner with the customers stakeholders to confirm business need, funding path, project priority, approval requirements, scope boundaries, and expected client value.
  • Develop and maintain project charters, scopes of work, ROM estimates, schedules, budget forecasts, risk registers, stakeholder maps, and escalation plans.
  • Coordinate with IFM, Technical Services, P&P, SPO, Finance, Procurement, EHS, vendors, and site leadership to ensure project execution aligns with the customers requirements and C&W delivery standards.
  • Support vendor engagement, bid coordination, proposal review, purchase order tracking, change order management, invoice validation, and project documentation in alignment with applicable procurement processes.
  • Monitor project performance against scope, schedule, budget, safety, quality, sustainability benefits, and client expectations; escalate risks early with clear recommendations and decision points.
  • Facilitate project meetings, maintain action logs, prepare executive-ready updates, and communicate progress, risks, dependencies, and required actions to C&W and the customer leadership.

Sustainability and Capital Planning Focus Areas

  • Embed sustainability considerations into capital planning, including energy efficiency, water conservation, waste reduction, carbon impact, resiliency, maintainability, and lifecycle asset performance.
  • Evaluate projects through a total cost of ownership lens, balancing first cost, operational cost, asset lifecycle, maintenance impact, risk reduction, and measurable sustainability return.
  • Support development of multi-year capital planning inputs, including end-of-life asset replacement, reliability improvements, safety and compliance needs, and opportunities that support the customers operational and sustainability objectives.
  • Partner with C&W Technical Services, IFM, SPO, and the customers stakeholders to assess project opportunities, validate assumptions, and prioritize investments based on risk, value, and business continuity.
  • Track realized benefits and lessons learned, including cost avoidance, energy or utility impact, operational improvements, asset reliability, and opportunities for standardization across sites.

Governance, Reporting, and Controls

  • Maintain the capital project tracker as the primary source of truth for project status, milestones, budget visibility, risks, approvals, and required stakeholder actions.
  • Provide consistent portfolio-level reporting to support C&W and the customers governance forums, leadership reviews, funding discussions, prioritization decisions, and monthly client updates.
  • Apply project controls for budget forecasting, CapEx and OpEx classification support, contingency tracking, procurement status, schedule adherence, change management, and issue resolution.
  • Ensure project documentation is complete and organized, including scopes, quotes, bid summaries, approvals, purchase orders, invoices, job reports, commissioning records, operational readiness materials, and closeout packages.
  • Identify trends, delivery risks, process gaps, and improvement opportunities to strengthen FSC governance, project consistency, and cross-functional accountability.

Key Stakeholder Partnerships

  • The customer and Regional Workplace Leads: Align project priorities, funding needs, operational expectations, site strategy, business continuity considerations, and acceptance requirements.
  • C&W IFM and Site Facilities Teams: Provide operational insight, site access coordination, maintenance requirements, shutdown planning, vendor coordination, and operational readiness support.
  • C&W Technical Services and Engineering: Validate technical requirements, asset condition, design intent, standards alignment, commissioning needs, system performance, and risk mitigation.
  • C&W P&P and SPO Teams: Coordinate transition points where projects intersect with construction, space planning, moves, workplace changes, or broader portfolio initiatives.
  • Finance and Procurement: Support budget tracking, cost classification, PO status, bid process coordination, invoice review, and fiscal-year delivery planning.
  • EHS, Sustainability, Vendors, and Contractors: Ensure safe execution, compliance with site requirements, sustainability objectives, quality delivery, and timely resolution of field issues.

Required Capabilities

  • Strong client-facing project management capability across scope, schedule, budget, risk, quality, procurement coordination, stakeholder alignment, and change control.
  • Working knowledge of integrated facilities management, sustaining capital, building systems, asset lifecycle planning, construction coordination, commissioning, and operational handoff.
  • Ability to translate technical, financial, and operational information into concise leadership updates, client-ready recommendations, and decision-focused reporting.
  • Understanding of sustainability principles, lifecycle value, energy and resource efficiency, environmental compliance, resiliency, and maintainability.
  • Ability to navigate C&W and the customer governance forums, procurement expectations, approval pathways, escalation processes, and cross-functional operating models.
  • Proactive ownership mindset with strong communication, vendor coordination, issue resolution, accountability, and ability to manage multiple projects across sites and stakeholders.
