BC Assessment is currently looking for a permanent Executive Coordinator to join our Finance Division in our Victoria office.

We acknowledge that our Victoria office it is situated on the traditional and unceded territory of the Lekwungen speaking People, which includes the Esquimalt and Songhees First Nations, as well as the traditional lands of the W̱SÁNEĆ First Nations.   • Location: Victoria, BC

  • Hybrid Work: Minimum 3 days per week in office

  • Competition Close Date: Sunday, October 4th @ 11:59PM (PST)

  • Compensation: $81,855 - $100,045

*The salary range provided is based on our current Management salary structure. The successful candidate's placement will consider qualifications, experience, market norms, and internal equity. The typical recruitment range spans from the minimum to the mid-range, with the potential to advance to the maximum through performance-based increases.

What you’ll get to do

The Executive Coordinator is a senior professional role within the Finance Division, providing trusted operational, administrative, and business support to the Vice President & Executive Financial Officer (EFO). Reporting to the VP & EFO, you’ll help connect priorities across the Division, coordinate the flow of information and follow-up, and ensure key activities and commitments move forward. You’ll also contribute to divisional planning, budgeting, reporting, issues management, and special projects.

In this role, you will:

  • Coordinate the day-to-day operations of the VP & EFO office, managing priorities, tracking commitments, and ensuring timely follow-up across the Division.

  • Serve as a key connection point between the VP & EFO, Division leaders, corporate partners, and staff, ensuring information flows effectively and priorities, decisions, and commitments are understood and acted upon.

  • Plan and coordinate leadership meetings, including agendas, materials, presentations, decisions, and follow-up on action items.

  • Coordinate divisional business planning, budgeting, and forecasting activities, bringing together information from across the Division and supporting alignment with corporate priorities.

  • Develop and implement effective administrative processes, procedures, templates, and tools that improve efficiency, information management, and consistency.

  • Monitor emerging issues and risks, identify potential impacts or conflicts, and ensure the VP & EFO and Division leaders have timely information, options, and recommendations to support decision-making.

  • Provide research, analysis, advice, and recommendations on a range of operational and business matters, ensuring priorities are understood and follow-up is completed.

  • Research and analyze confidential and sensitive information, identifying relevant facts, trends, implications, and resource requirements, and developing options and recommendations for Executive and Division leaders.

  • Prepare and coordinate high-quality briefing notes, reports, project documents, issues papers, Board submissions, presentations, and other confidential or sensitive materials.

  • Coordinate corporate and divisional reporting requirements, working with managers and project leaders to gather information, monitor progress, and ensure accurate and timely submissions.

  • Generate and analyze reports, metrics, tables, and other information to identify trends, anomalies, risks, and opportunities.

  • Support effective use of enterprise systems and information, coordinating with internal partners to resolve issues and helping ensure information is complete, accurate, and accessible.

  • Provide functional leadership to administrative staff within the Executive Office and Division, including coordinating work, supporting training and development, and helping address workflow and process issues.

  • Lead or participate in initiatives that improve business practices, systems, policies, and processes, and support the implementation of new programs and corporate initiatives.

  • Build and maintain effective relationships with internal and external stakeholders, representing the VP & EFO and BC Assessment at meetings, forums, conferences, and other events as required.

This position is excluded from the bargaining unit. 

What you bring to the team
 

Education

  • A university degree or college diploma in Business, Accounting, Public Administration, or equivalent.

  • Supervisory and leadership courses (2 or more courses) are preferred.

  • Appraisal courses would be an asset.

Experience

  • 4-5 years related experience (with Degree); or 5-7 years related experience (with Diploma).

  • Experience with issues management, risk and strategic problem solving.

  • Experience undertaking research and applying analytical skills.

  • Experience leading or coordinating projects, and supervising staff or coordinating teams.

  • Experience in developing, monitoring, and reviewing corporate and/or divisional business plans and budgets.

Note: An equivalent combination of education and experience may be considered.
